Why firms move to white-label software

Your clients rely on your advice, but most of them sign in to someone else’s software every day. Three problems follow from that, and a white-label license is built to remove all three.

You pay for every seat

Practice tools charge per staff member. Hiring a junior raises your software bill.

Their brand, not yours

Clients sign in to someone else’s product every day. The software they use doesn’t carry your name.

Two systems for one job

Most practice tools connect to a ledger but don’t include one. Your team switches between them all day.

What your clients see

Your clients sign in to “Smith CPA Books”, not to a software vendor. The sign-in page, invoices, statements and reports carry your firm’s name, logo and colors. HelloBooks runs underneath and never appears in front of them, so every login reinforces your firm rather than someone else’s brand.

That matters more than it sounds. When a client opens their books every week, the name on the screen is the name they associate with their numbers. With vendor-branded software, that is the vendor. With a white-label license, it is you, and switching away from your firm means leaving the software they know as yours.

What carries your brand, and when

Founding firms go live first on a web address like yourfirm.hellobooks.ai, with their name, logo and colors throughout. Your own domain, such as books.yourfirm.com, and email sent from your domain follow at full launch. The table below is the exact list, kept up to date as each part ships.

What your firm gets

Every partner, manager and junior gets a seat at no extra cost, so hiring never raises your software bill. The firm console lists every client with its close status for the month and the items waiting for a person, which turns “who needs me this week” into a list rather than a round of emails.

The accounting is included, not bolted on. Transactions are categorized by AI, bank accounts are reconciled, invoices and bills run through the same books, and reports come out on your templates. Clients who run several companies can use multi-entity on the higher plans. Your team reviews the exceptions instead of keying data.

How a client’s month runs under your brand

Transactions arrive from the client’s bank and uploads. The AI suggests categories and matches bank lines, and anything it is unsure about lands in your review queue. Your team clears the exceptions, sends invoices on your templates, and closes the month. The client sees the result at your firm’s address, with your name on every page.

Because routine coding is handled before anyone opens the file, the same team can look after more clients without the month-end crunch getting worse. The time goes to review, questions and advice, which is the work clients actually value and the work you can charge for.

White-label software, partner programs or outsourced bookkeeping

Search for white-label accounting and most results are outsourced bookkeeping providers: their staff do the work and hand it back under your name. That is a service, not software. Partner programs from the big ledgers are a third option, with a discount but the vendor’s brand on every screen your client opens.

A white-label license sits between them. Your team keeps doing the work, with AI taking the routine coding, and the software your clients use is yours in name. Many firms combine models: an outsourced team can work inside your branded HelloBooks just as your own staff do.

Who it is for, and who it is not for

It fits firms that keep the books for a steady roster of clients and want those clients inside software carrying the firm’s name: CPA firms with a bookkeeping line, bookkeeping practices, client accounting services teams and fractional CFOs who manage several companies.

It is not the right first step for a firm with only a handful of bookkeeping clients. The free Partner Program gives a reseller discount without a license fee, and moving up to white-label later is straightforward. It is also not an outsourced service: HelloBooks provides the software, not bookkeepers.

FAQ

Frequently asked questions

What is white-label accounting software?
It is accounting software your firm offers to clients under your own name. Clients sign in to a product carrying your brand, while the software company builds and runs it. With HelloBooks the ledger itself is branded, not just a client portal.
Will my clients see the HelloBooks name?
No. The sign-in page, invoices, statements and reports carry your firm’s name. Founding firms start on a yourfirm.hellobooks.ai address until their own domain is connected at full launch.
How is this different from outsourced white-label bookkeeping?
Outsourced providers supply staff who do the bookkeeping under your name. HelloBooks supplies the software. Your team, or an outsourced team you choose, does the work inside your branded HelloBooks.
Do you provide bookkeepers as well?
HelloBooks provides the software. For white-label bookkeeping done by trained staff under your firm’s name, our sister company Meru Accounting works with CPA firms and accounting practices.
How is this different from the Partner Program?
The Partner Program is free and gives a reseller discount that grows as your client book grows. The white-label license adds your own brand, unlimited staff and the firm console, and gives your firm the top discount from day one.
How do client plans work?
Each client company is on a published plan such as Starter, Pro or Business. Your firm pays 20% less than the published price, and you choose what to charge your clients.
Can we use our own domain?
Yes, at full launch. Founding firms go live on a firm subdomain first, and your own domain with SSL, plus email sent from your domain, follow at full launch.
Is there a mobile app under our name?
HelloBooks works in a phone’s browser today. An iOS and Android app under your firm’s name is planned as a separately quoted add-on.
What happens to our data if we leave?
You can export all client data at any time. After the license ends you keep read-only access for 60 days.
