Decide what belongs in the queue
A queue that collects everything becomes noise. Define which items need review and which can proceed automatically. Low-risk, recurring transactions with a clear pattern rarely need a second look. Items that are unusual, large relative to the client’s normal activity, or ambiguous in nature deserve attention.
Write the rules down and share them with staff. Clear criteria make the queue predictable and prevent individual bookkeepers from flagging too much or too little. Revisit the criteria after a few months, since what counts as unusual for a client changes as the business grows. Typical candidates for review include:
- Transactions the software was unsure how to categorise
- Bank lines with no matching invoice or bill
- Payments to or from unfamiliar parties
- Entries that change a prior closed period
- Questions awaiting a reply from the client
