Custom domain

Custom domain accounting software for your firm, explained plainly

Firm owners often ask what address clients will type to reach their books. The honest answer has two stages. From the first day, your firm gets its own address on a hellobooks.ai subdomain, already carrying your sign-in page and branding. Your own custom domain is part of full launch and is not live today. This page explains both stages so you can plan client communication.

Stage one: your firm’s subdomain

As soon as onboarding finishes, your practice has a working address on a hellobooks.ai subdomain. Clients who visit it land on a sign-in page with your logo, app name and colors. Everything they do after signing in is presented under your brand, so the subdomain is the only place where the platform name appears.

For most firms this is enough to start. You can put the address in welcome emails, link it from your website, and add it to your engagement letter. Because it is stable, you do not need to rush clients through a migration later just to keep things working. Staff sign in at the same address, so the whole practice builds its habits around one link. Bookmarks, saved passwords and welcome packs all point at the subdomain and keep working while you wait.

Stage two: your own domain at full launch

At full launch, firms will be able to run the software on their own domain, so the address bar shows your practice rather than a subdomain. Email sent from the software will also be able to come from your firm’s domain at that point. Neither feature is available yet, and we will not suggest otherwise in onboarding.

If owning the full address matters to your brand, the sensible plan is to launch on the subdomain now and switch when full launch arrives. Your branding, templates and client setup carry across, so the change is about the address, not about redoing your configuration.

Telling clients what to expect

Clients rarely care about the domain itself; they care that the link works and the page looks like your firm. A short line in your welcome message explaining where to sign in covers most questions. When your own domain becomes available, a second note tells them the updated address to bookmark.

Keep the explanation simple and consistent across your team. Staff who answer the phone should know the current sign-in address and that a firm-domain address is planned. That way a client never hears two different stories about where their books live. A one-page internal note, kept with your onboarding checklist, is usually enough to keep receptionists, bookkeepers and partners saying the same thing when a client calls.

FAQ

Frequently asked questions

Can I use my own domain for the accounting software today?
Not yet. Your firm starts on a hellobooks.ai subdomain from day one, and using your own domain is part of full launch. We will tell founding firms when it is ready rather than promising a date now.
Does the subdomain still show my firm’s branding?
Yes. The sign-in page and the application both carry your app name, logo and colors. Only the web address itself contains the platform name while you wait for your own domain at full launch.
Will moving to my own domain break client logins?
The switch is about the address clients use. Your branding, document templates and client setup stay in place, so the practical work is telling clients the updated link to bookmark once your domain goes live.
Can emails from the software come from my firm’s domain?
Email from your firm’s domain arrives with full launch alongside your own web domain. It is not available today, so plan any client messaging around the subdomain setup you receive during onboarding.
