Break the close into stages
A close is easier to manage when it has named stages rather than a single done-or-not-done flag. Each stage has a clear owner and a clear finish condition, so work can move between people without confusion. Staff know what to pick up next, and managers can see where things are stuck.
The stages below suit most bookkeeping clients. Some firms add extra steps for payroll or inventory, but keeping the core consistent across clients makes the whole book easier to supervise and train. When every file moves through the same stages, a manager can glance at any client and know exactly what remains to be done.
- Transactions categorised and exceptions flagged
- Bank and card accounts reconciled
- Receivables and payables reviewed
- Adjustments and accruals posted
- Reports reviewed and sent to the client
