Assess before you quote
Cleanup work is notoriously hard to estimate from a phone call. Request read access or exports and spend a short, defined time assessing the file before quoting. Look at how far behind the books are, how many accounts are involved, and how reliable existing entries appear. That assessment is itself worth charging for on larger files.
Document what you find in a short summary for the client. It explains the scope of the problem, supports your quote and protects the firm if the client later asks why the work took the effort it did. Common findings worth recording include:
- Months or years with no reconciliation
- Personal and business spending mixed together
- Duplicate or missing transactions from past imports
- Unexplained balances in suspense or clearing accounts
- Receivables that were paid but never recorded
