Migrate from Zoho Books to HelloBooks at a clean VAT quarter

Some UAE businesses move from Zoho Books because they want an AI agent that posts and reconciles for them, not only software they post into. The move itself is a data exercise: export lists, open documents and a trial balance, import them at a cut-over date, and confirm the numbers agree. This page sets out the steps and what your accountant should check.

How the HelloBooks AI agent handles it

You ask in plain English, the AI does the bookkeeping work, and you or your accountant approve the result.

  • You ask: “I have uploaded the Zoho Books exports. Map them and show me anything that does not balance.”
  • The AI agent: The AI maps the exported contacts, items and accounts to HelloBooks fields, builds opening entries from the trial balance and open documents, and reports any difference between the two.
  • You review: Your accountant checks the opening trial balance against the closing report from the old system and approves the opening entries.

Getting the data out

Zoho's own help pages explain that module list pages can be exported as CSV, XLS or XLSX files, with a separate backup option for large volumes. Export contacts, items, the chart of accounts, open invoices, open bills and a trial balance at the cut-over date. Save the VAT returns and their detailed reports as PDFs for your records.

  • Contacts with TRNs and payment terms
  • Items and services with VAT treatment
  • Chart of accounts
  • Open invoices and bills at cut-over
  • Trial balance and VAT reports up to cut-over

Bringing it into HelloBooks

Import the lists first, then open documents, then the trial balance as an opening journal. The AI compares open receivables and payables with the control accounts in the trial balance, so a missing invoice shows up as a difference rather than surfacing months later.

Pick a VAT quarter start as the cut-over if you can. Returns up to that date stay with the old records; the next return comes from HelloBooks. Bank statements from the cut-over date are uploaded and matched as normal.

Worked example: an Ajman furniture trader

Cut-over is 1 July. The exports hold 312 contacts, 540 items, 37 open invoices worth AED 268,400 and 22 open bills worth AED 119,750. The trial balance shows receivables of AED 268,400 and payables of AED 121,250.

The AI finds the AED 1,500 payables difference: a supplier credit that was recorded as a journal rather than a credit note. The accountant adds it to the opening entries and the balances agree. Firms migrating several clients can agree a standard setup with us by emailing hello@hellobooks.ai.

FAQ

Frequently asked questions

Can HelloBooks import directly from Zoho Books?
The route is file export and import. Exports in CSV or Excel load into HelloBooks, and the AI helps map the fields.
Will my old invoice numbers carry over?
Open invoices keep their original numbers. New invoices can continue the sequence or start a new series.
Do I lose my VAT history?
Keep the old returns and reports as PDFs and files. HelloBooks starts from the cut-over, and older records remain part of your retained records.
Should I cancel the old subscription immediately?
Keep read access until the first return from the new system is filed and your accountant is satisfied.
