Use case · Getting started

Bookkeeping for new company UAE founders, from licence day

The weeks after a trade licence is issued are busy: visas, an office or flexi-desk, a bank account that can take weeks to open, the first client. Bookkeeping usually waits, and set-up costs paid personally get lost. Starting HelloBooks on licence day means share capital, licence fees and founder-paid costs are recorded correctly, and your first corporate tax return and any VAT registration rest on clean records.

How the HelloBooks AI agent handles it

You ask in plain English, the AI does the bookkeeping work, and you or your accountant approve the result.

  • You ask: “I paid the licence, visa fees and a laptop from my personal card before the company bank account opened. Record them.”
  • The AI agent: The AI reads the receipts you upload, codes licence and visa fees and the laptop as an asset, and posts them against a director's loan account so the company owes you the money back.
  • You review: You confirm each item was for the company, decide whether to repay the loan or convert it to capital, and check the asset is set up for depreciation.

Your first setup checklist

Choose the financial year, usually matching the licence or the calendar year, then start from the UAE chart of accounts and add what your business needs. Record share capital as paid or as receivable from shareholders, and set up the bank account once it opens.

  • Company details, licence number, emirate or free zone
  • Chart of accounts and opening share capital
  • Director's loan account for founder-paid costs
  • Invoice template with your logo and, once registered, your TRN
  • Bank account set up for statement uploads

Tax milestones to keep in view

Corporate tax applies to UAE companies at 0% on taxable income up to AED 375,000 and 9% above it, and companies must register with the FTA. Small business relief can be elected by resident businesses with revenue up to AED 3 million, extended to tax periods ending on or before 31 December 2029, though qualifying free zone persons cannot use it.

VAT registration becomes mandatory once taxable supplies over the previous 12 months, or expected in the next 30 days, exceed AED 375,000; voluntary registration is possible from AED 187,500. The AI tracks your rolling turnover and tells you as you approach the threshold.

Worked example: a consultancy in Dubai's mainland

Share capital is AED 50,000. Before the bank account opened, the founder paid AED 18,750 for the licence, AED 7,600 in visa fees and AED 6,300 for a laptop. The AI posts AED 26,350 to set-up expenses, AED 6,300 to computer equipment and AED 32,650 to the director's loan.

In month four, revenue reaches AED 160,000 over four months and the AI projects the AED 375,000 threshold within the year, so the founder starts VAT registration early. Founders who want their chart of accounts or invoice layout tailored at setup can book a call at /book-a-demo.

FAQ

Frequently asked questions

When should a new UAE company start bookkeeping?
From the licence date. Costs before the bank account opens still belong to the company and should be recorded.
Do I need to register for corporate tax if I have no profit?
Registration is required for companies regardless of profit. Check the deadline that applies to your licence date on the FTA site.
When do I register for VAT?
Mandatory once taxable supplies exceed AED 375,000 over 12 months or are expected to within 30 days. Voluntary from AED 187,500.
Can I add my accountant later?
Yes. Invite them any time with an accountant role; your records from day one are already there.
