Accounting for freelancers in UAE without a bookkeeper

A designer on a free zone freelance permit or a consultant with a Dubai freelance licence usually has one bank account, a handful of clients and a phone full of receipts. The tax questions are simple but real: when do I need to register for VAT, and does corporate tax apply to me? HelloBooks keeps the books light: send invoices, snap expenses, and let the AI tell you where you stand against each threshold.

How the HelloBooks AI agent handles it

You ask in plain English, the AI does the bookkeeping work, and you or your accountant approve the result.

  • You ask: “How much have I invoiced in the last 12 months, and how close am I to the VAT and corporate tax thresholds?”
  • The AI agent: The AI totals your invoiced business income for the rolling 12 months and the calendar year, and shows each figure against the AED 375,000 VAT threshold and the AED 1 million turnover test for natural persons.
  • You review: You check that personal income such as a salary or investment returns is excluded, and talk to a tax agent before registering or deciding you do not need to.

Keeping business and personal apart

Most freelancers run business through a personal account. That is workable if every transaction is tagged. Upload the statement monthly; the AI tags client receipts as income and suggests business categories for costs, while personal spending is marked as drawings so it never reaches your profit figures.

  • Invoices in AED, USD or EUR, sent from your phone
  • Receipts photographed and coded: software, co-working, equipment, travel
  • Personal transactions marked as drawings
  • One profit figure per year, ready for a tax conversation

Which tax rules may apply

VAT registration becomes mandatory once taxable supplies over the previous 12 months, or expected in the next 30 days, exceed AED 375,000, and voluntary registration is possible from AED 187,500. Services to clients outside the UAE can be zero-rated in some cases, which matters for freelancers with foreign clients.

For corporate tax, the FTA says a natural person is subject only if they conduct business in the UAE and turnover from that business exceeds AED 1 million in a calendar year. Wages, personal investments and real estate investment do not count toward that. Below the threshold, keep records anyway; crossing it mid-year is the moment to call a tax agent.

Worked example: a copywriter in Dubai

Leila invoices six clients: four in Dubai paying AED 14,000 each month in total, and two in London paying GBP 3,000 each month in total. Over 12 months, that is AED 168,000 from UAE clients plus roughly AED 166,000 from abroad at the rates recorded. Total business turnover is about AED 334,000.

The AI shows she is below the mandatory VAT threshold but past the voluntary one, and far below the AED 1 million corporate tax test for individuals. It also notes that the London work may be zero-rated if she registers. She books a session with a tax agent before deciding. According to the FTA, a natural person is in scope only when business turnover in the UAE exceeds AED 1 million in a calendar year. Check your situation with a tax agent.
Do I need VAT registration as a freelancer?
Yes, if taxable supplies pass AED 375,000 in 12 months. You may register voluntarily from AED 187,500.
Can I use my personal bank account?
You can, as long as you tag personal spending as drawings. A separate account makes life easier as you grow.
