Restaurant POS Sales Accounting UAE, Day by Day | HelloBooks Turn each POS Z-report into a daily sales journal with VAT, card, cash and delivery app splits, then let the AI match card settlements to the bank.

Use case · Hospitality

Restaurant POS sales accounting UAE kitchens can close nightly

A busy restaurant in JBR or Al Wahda takes hundreds of payments a day: cash, cards, and orders through delivery apps that pay out days later, net of commission. The POS knows the sales; the books need them split by payment type with VAT. HelloBooks does not integrate with POS systems today, so the reliable method is one daily sales journal from the Z-report, which the AI drafts from a photo or export.

How the HelloBooks AI agent handles it

You ask in plain English, the AI does the bookkeeping work, and you or your accountant approve the result.

  • You ask: “Post yesterday's Z-report and tell me if the card settlement from the bank matches.”
  • The AI agent: The AI reads the photographed or exported Z-report, drafts a sales journal split into food, beverages, VAT, cash, card and delivery app receivables, then matches the card settlement on the bank statement and shows the merchant fee deducted.
  • You review: The manager checks cash counted against cash recorded, and the accountant approves the journal and investigates any variance.

One journal per day

Posting every receipt individually clutters the ledger. A daily summary from the Z-report gives the same totals with far less noise. Payment types go to separate clearing accounts so each can be matched to what actually arrives.

  • Manual today: exporting or photographing the Z-report from your POS
  • Sales lines: food, beverages and other categories, net of VAT
  • Output VAT at 5% as its own line
  • Clearing accounts: cash, card acquirer, each delivery app
  • AI: drafts the journal and matches settlements as statements arrive

Matching cards and delivery apps

Card acquirers usually settle the next working day, net of fees. Delivery apps settle weekly or fortnightly, net of commission, and send a statement and a tax invoice for their fees. Upload the bank statement and attach the app statements; the AI clears each clearing account and posts fees to their own expense lines.

A clearing account that does not return to zero points to a problem: a voided sale still in the POS total, a missed settlement, or cash short in the till.

Worked example: a café in Abu Dhabi

Saturday's Z-report shows AED 9,450 including VAT: cash AED 1,260, cards AED 5,880, delivery apps AED 2,310. The AI posts sales of AED 9,000 and VAT of AED 450, with the three payment types to clearing. Sunday's bank statement shows a card settlement of AED 5,786 after a merchant fee of AED 94.

The cash deposit on Monday is AED 1,240, so the AI flags a AED 20 shortfall for the manager. The delivery app pays a week later net of its commission, with its fee invoice attached. Groups with several branches can tag each outlet as a class, and those wanting a custom daily sales template can request one at hello@hellobooks.ai.

FAQ

Frequently asked questions

Does HelloBooks integrate with my POS?
Not today. Upload or photograph the daily Z-report and the AI drafts the sales journal for review.
How do I handle delivery app commissions?
Record gross sales from the Z-report, then post the commission as an expense when the app settles, with its tax invoice attached.
Can I see sales by branch?
Yes. Tag each branch as a class or location so each outlet has its own P&L.
What about tips and service charges?
Their VAT and payroll treatment depends on how they are collected and shared. Record them on their own lines and confirm treatment with your tax agent.
