Migrate from QuickBooks UAE books in a planned weekend

UAE companies that started on QuickBooks often find they want an AI agent that reads Arabic bills, matches UAE bank statements and drafts the VAT 201 from the ledger. The move works like any migration: export reports and lists, import them at a cut-over date, and confirm the opening trial balance agrees. A small company can usually prepare on a Thursday and start fresh on Monday.

How the HelloBooks AI agent handles it

You ask in plain English, the AI does the bookkeeping work, and you or your accountant approve the result.

  • You ask: “Compare the QuickBooks trial balance I uploaded with the opening entries and explain any differences.”
  • The AI agent: The AI lines up each account in the exported trial balance against the opening journal, open invoices and open bills, and lists differences with the most likely cause, such as an unapplied payment.
  • You review: Your accountant resolves each difference, approves the opening balances and locks the period before the cut-over.

Exports you need

Intuit's help pages describe exporting reports to Excel from the reports area. For a migration, export the customer and supplier lists, products and services, the chart of accounts, the trial balance, and the open invoices and bills reports at the cut-over date.

  • Customer and supplier contact lists
  • Products and services with VAT codes
  • Chart of accounts and trial balance at cut-over
  • Accounts receivable and payable ageing detail
  • VAT reports for returns already filed

Watch these items

Unapplied customer payments and supplier credits are the usual source of differences. So are multi-currency balances: a USD receivable should come in at its original USD amount, not only its AED value, so later exchange gains or losses are right.

Re-check VAT treatment on items. A product that was set up with the wrong tax code in the old system will keep producing a wrong VAT 201 in the new one unless you fix it now. The AI flags items with no VAT setting.

Worked example: a Dubai Silicon Oasis software reseller

At cut-over the reseller has USD receivables of USD 48,000 and AED receivables of AED 96,000. The trial balance shows total receivables of AED 272,280. The AI imports the USD invoices at their original rates and reports a AED 340 difference, traced to an unapplied payment from one client.

After applying it, the balances agree. From then on, USD invoices are paid into the company's USD account and the FX gain or loss is posted automatically. Partner firms moving several clients off one system can request standard mapping templates through hello@hellobooks.ai.

FAQ

Frequently asked questions

Is there a direct connector from QuickBooks?
The supported path is exporting files and importing them into HelloBooks, with the AI helping map fields and check balances.
Can I bring over attachments?
Download key documents from the old system and keep them as records. Open bills and invoices can have their documents re-attached in HelloBooks.
What about foreign currency balances?
Import them at the original currency amount and rate so later exchange differences are calculated correctly.
When should my first VAT return come from HelloBooks?
From the first full quarter after cut-over, or the current quarter if you import all its transactions.
