Use case · Migration

Migrate from Tally UAE trading books to a cloud ledger

Tally is common in UAE trading companies, often installed on one office PC and run by one accountant. Moving to the cloud lets the owner, the accountant and the warehouse work in the same books from anywhere, with an AI agent doing the posting. The migration is mostly about masters and balances: ledgers, stock items, parties and the trial balance at a cut-over date.

How the HelloBooks AI agent handles it

You ask in plain English, the AI does the bookkeeping work, and you or your accountant approve the result.

  • You ask: “Import the Tally ledger masters and closing stock, and group the ledgers into a UAE chart of accounts.”
  • The AI agent: The AI reads the exported ledger list and groups, proposes a mapping to HelloBooks accounts, splits sundry debtors and creditors into customer and supplier records, and loads stock items with quantities and values.
  • You review: Your accountant reviews the account mapping, especially VAT ledgers and stock valuation, and approves the opening balances.

Exporting from TallyPrime

Tally's help pages describe exporting masters, vouchers and reports in formats including Excel and XML. For a migration you need ledger masters with groups, stock item masters, the trial balance and outstanding bills for debtors and creditors at cut-over.

  • Ledger masters with groups and opening balances
  • Stock items with units, rates and closing quantities
  • Bills receivable and payable outstanding at cut-over
  • VAT ledgers and the last return reports

Mapping groups to accounts

Tally groups ledgers such as Sundry Debtors, Duties and Taxes and Indirect Expenses. HelloBooks uses customers and suppliers as records plus a chart of accounts. The AI suggests the mapping; an accountant should check VAT input and output ledgers carefully, because the VAT 201 draft relies on them.

If you hold stock in more than one location, set up warehouses before importing quantities. Multi-warehouse and batch inventory are on the Business plan.

Worked example: a Deira spare parts trader

At 1 January the Tally data has 1,240 stock items valued at AED 1.86 million, 180 debtors owing AED 742,000 and 64 creditors owed AED 415,000. The AI maps 212 ledgers to 74 accounts and flags 23 ledgers with nil balances and no use in two years, which the accountant drops.

Opening stock, receivables and payables match the Tally closing reports. Bank statements from Emirates NBD and a second bank are uploaded and matched from January onward. A custom chart of accounts that mirrors the old Tally groups can be set up if the owner prefers familiar names; book a call at /book-a-demo.

FAQ

Frequently asked questions

Can I import years of Tally vouchers?
It is possible, but most businesses migrate balances and open bills at a cut-over and keep the Tally data as a read-only archive.
Will my stock valuation change?
Opening stock comes in at the value in Tally. Check the costing method with your accountant before the cut-over.
Do I still need the Tally licence?
Keep access to the old data, or full exports, for as long as the record retention rules require.
Can several users work at once after the move?
Yes. HelloBooks is cloud-based, so the owner, accountant and staff can work at the same time with their own roles.
