Switch from Excel to accounting software without losing your history

Plenty of UAE companies run for years on a sales sheet, an expenses sheet and a bank sheet. It works until VAT registration, a loan application or an audit asks for figures that tie together. Moving to HelloBooks does not mean retyping everything. You import the lists you already keep, set opening balances at a clean date, and the AI takes over the daily posting your sheets never did.

How the HelloBooks AI agent handles it

You ask in plain English, the AI does the bookkeeping work, and you or your accountant approve the result.

  • You ask: “Here is my customer sheet and my 2026 sales sheet. Set up the customers and tell me what is still unpaid.”
  • The AI agent: The AI maps the columns in your file to customer fields, flags duplicates and missing TRNs, then reads the sales sheet and proposes opening receivables per customer from the rows marked unpaid.
  • You review: You confirm the mapping, merge duplicates, and check the opening receivables total against your own list before anything posts.

What to bring across

You do not need every historic row. Most businesses import master lists and balances at a cut-over date, often the start of a VAT quarter, and keep the old spreadsheets as an archive. Spreadsheets saved as CSV or Excel files import directly.

  • Chart of accounts, or start from the UAE default and adjust
  • Customers and suppliers with TRNs, emirate and payment terms
  • Products and services with prices and VAT treatment
  • Open invoices and bills at the cut-over date
  • Bank balances and a trial balance as opening entries

Choosing the cut-over date

The start of a VAT quarter is the cleanest cut-over, because the next VAT 201 then comes entirely from the new system. If you are mid-quarter, import that quarter's sales and purchases as transactions so the return is complete.

Upload bank statements from the cut-over date in PDF, CSV or Excel. The AI matches the lines to the opening receivables and payables you imported, which is the first real test that the balances are right.

Worked example: a Fujairah equipment rental firm

The firm kept three sheets. At 1 October it has 46 customers, 19 with unpaid invoices totalling AED 212,600, eight supplier bills of AED 38,900 outstanding, and AED 147,300 across two bank accounts. The AI imports the lists, flags four customers entered twice under English and Arabic spellings, and builds the opening trial balance.

October statements are uploaded, and 15 of the 19 old invoices match payments within the month. The owner now asks the AI who still owes money instead of filtering a sheet. If your sheets use your own account codes, we can map them to a custom chart of accounts; talk to us at /book-a-demo.

FAQ

Frequently asked questions

Do I have to import every transaction from past years?
No. Most businesses import balances at a cut-over date and keep old spreadsheets as records.
Can I keep using Excel for some reports?
Yes. Export any report to Excel or CSV whenever you need to work on it outside HelloBooks.
What if my sheet mixes Arabic and English names?
The import keeps names as written, and the AI flags likely duplicates so you can merge them.
How long does a spreadsheet migration take?
For a small company with clean lists, often a day or two of preparation and review. Messy sheets take longer.
