Month-end close checklist UAE teams can finish in one working day

A small business month-end close in the UAE often takes a week because work piles up: three bank statements, a pile of receipts, salaries, a VAT check and a phone call to the accountant. HelloBooks breaks the close into a checklist and does most of the items itself. The AI agent tells you what is left and why.

How the HelloBooks AI agent handles it

You ask in plain English, the AI does the bookkeeping work, and you or your accountant approve the result.

  • You ask: “What is stopping me from closing September?”
  • The AI agent: The agent runs the close checklist and reports the open items: one bank account not uploaded since the 22nd, 14 unmatched lines, nine bills awaiting approval, the salary journal not yet posted and depreciation not run.
  • You review: You or your accountant clear each item, review the profit and loss against last month, and lock the period so nothing can be changed by accident.

The checklist

Each step shows as done, in progress or blocked, with a link to the screen where it is fixed.

  • Upload statements for every bank and card account
  • Clear unmatched bank lines
  • Approve or reject pending bills and expense claims
  • Post the salary journal from HelloTime or your payroll provider
  • Run depreciation and recurring journals such as prepaid rent
  • Review accruals for goods received but not billed
  • Check VAT coding exceptions
  • Review P&L and balance sheet, then lock the period

Where the time actually goes

In most UAE SMEs, bank matching and chasing missing receipts take the most time. HelloBooks does the matching continuously, so at month end only the leftovers remain. Recurring entries such as annual rent paid by post-dated cheques and spread monthly, or a trade licence fee spread over 12 months, post themselves.

Manual items remain manual and the checklist says so. An end-of-service gratuity accrual, for example, is something you or your accountant calculate and post as a journal; HelloBooks reminds you it is due.

Worked example: a Dubai Silicon Oasis software firm

A 20-person software company used to close on the 10th of the following month. With weekly statement uploads and bills captured by email, the finance lead starts the close on the 1st with 23 unmatched lines and six bills to approve. Payroll from HelloTime posts the AED 340,000 salary journal; depreciation and a AED 9,500 office rent recurring entry run automatically. The period is locked by 4pm on the 2nd.

FAQ

Frequently asked questions

Can I add my own steps to the checklist?
Yes. Add steps such as "Check inventory count" or "Send board pack". Partner firms can ask us to set a standard close checklist for all their clients; get in touch at hello@hellobooks.ai.
Can a locked period be reopened?
An admin can reopen it if a correction is needed. The reopening and every change made are recorded in the audit log.
Does closing the month file anything with the FTA?
No. Closing locks your books for the period. VAT and corporate tax filings happen separately on EmaraTax.
