Payment voucher template UAE with approvals

Every dirham that leaves the business should have a payment voucher behind it: who was paid, how much, why and who approved it. In UAE companies the voucher is also where the second signature for cheques and transfers lives. This page lists the fields, the approval block most auditors look for, a filled-in example for a supplier payment, and how HelloBooks replaces the paper version with a bill and approval trail.

Fields on a payment voucher

The voucher ties the payment to its evidence. Without a supplier bill or receipt attached, an auditor has nothing to test, and input VAT on the cost is hard to defend.

  • Title "Payment Voucher", sequential number and date
  • Payee name and, for suppliers, their TRN
  • Amount in figures and words
  • Method: bank transfer, cheque (number and bank) or cash
  • Purpose and the expense or supplier account charged
  • Bill or invoice numbers being paid, with VAT shown separately
  • Prepared by, checked by and approved by, each with a date
  • Received by, for cash payments

Approval limits

Set limits in writing and stick to them. A common pattern for a small UAE trading company is: the accountant prepares every voucher, the finance manager approves up to an agreed amount, and anything above needs a partner or owner. Cash payments should have a lower ceiling than transfers. Whatever the numbers, nobody should approve a payment to themselves.

Sample filled-in example

A Ras Al Khaimah food processing company pays a packaging supplier.

  • Payment Voucher PV-2026-0744, 19 October 2026
  • Payee: a packaging manufacturer in RAKEZ, TRN 100XXXXXXXXX001
  • Paying bills: PB-3310 (AED 11,550.00) and PB-3326 (AED 4,620.00), VAT included AED 770.00
  • Amount: AED 16,170.00, Sixteen thousand one hundred seventy dirhams only
  • Method: bank transfer from the company's ADCB current account
  • Account charged: trade payables, packaging supplier
  • Prepared by: accounts assistant; checked by: accountant; approved by: general manager

Bills, approvals and payments in HelloBooks

HelloBooks turns the paper voucher into a record. The AI agent reads the supplier bill, in Arabic or English, captures the TRN and VAT, and routes it through your approval rules. Once approved, you record the payment and the voucher is generated with the bill attached and every approver logged in the audit trail.

Payments themselves are made from your bank; HelloBooks has no live UAE bank feed. Upload the statement and the agent matches the transfer to the voucher. Approval rules by amount, supplier or department can be tailored; write to hello@hellobooks.ai with your matrix.

FAQ

Frequently asked questions

Is a payment voucher required by UAE law?
The law requires proper books and supporting documents, not a specific voucher form. A voucher with the bill attached is the simplest way to evidence each payment.
Should the voucher show VAT?
Show the VAT included in the bills being paid. The input VAT itself is claimed from the supplier's tax invoice, not from the voucher.
Who should approve a payment voucher?
Someone other than the person who prepared it, with authority set by written limits. Larger payments usually need an owner or partner.
