Delivery note template UAE for goods dispatched

In UAE trading, the delivery note signed and stamped by the customer is often the document that gets an invoice paid. Many procurement teams will not release payment without it, and it fixes the date goods changed hands, which matters for the VAT date of supply. Here is what to put on one, a layout drivers can complete at a loading bay, a filled-in example and how it links to the invoice in HelloBooks.

Fields to include

A delivery note carries no prices in most cases. It is about what left your warehouse and who accepted it, so quantities and signatures matter more than totals.

  • Title "Delivery Note" with a sequential number and date
  • Your company name, address and warehouse location
  • Customer name and delivery address, including site or gate number
  • Customer LPO number and your sales order or quotation number
  • Item code, description, unit and quantity delivered
  • Batch or serial numbers where relevant
  • Vehicle number and driver name
  • Receiver's name, signature, date and company stamp
  • Remarks for short, damaged or refused items

Why it matters for VAT and collections

For goods, the date of supply is linked to when they are delivered or made available, unless an earlier tax invoice or payment brings it forward. A signed delivery note is your evidence of that date, and the 14-day window to issue the tax invoice runs from it.

It is also your best defence in a payment dispute. If a contractor says only 180 bags arrived, a stamped note showing 200 received in good condition settles the matter quickly.

Sample filled-in example

A cement and aggregates supplier in Al Ain delivers to a villa project.

  • Delivery Note DN-48812, 15 October 2026
  • From: the supplier's yard, Al Ain Industrial Area
  • To: a contractor's villa site, plot 14, Al Hili, Al Ain
  • Customer LPO 7731; sales order SO-2290
  • OPC cement, 50 kg bags: 200 delivered
  • Washed sand: 18 tonnes delivered
  • Vehicle: Abu Dhabi plate, driver named on the note
  • Received by: site foreman, signed and stamped, remark "6 bags torn, accepted"

Linking deliveries to invoices in HelloBooks

Attach the signed delivery note to the sales order or invoice in HelloBooks; a phone photo is enough. The AI agent reads the quantities received and compares them to what you are about to invoice, flagging a gap such as torn bags or a short load before the invoice goes out.

On the Business plan, multi-warehouse inventory lets you see which location the goods left from. If you want a delivery note printed from HelloBooks with your own layout and fields, such as gate pass numbers, ask for it on a call at /book-a-demo.

FAQ

Frequently asked questions

Is a delivery note required by UAE law?
It is not a prescribed tax document, but it is standard commercial evidence and many customers require it before paying.
Should a delivery note show prices?
Usually not. Prices go on the tax invoice. Some businesses combine the two, but then the document must meet every tax invoice requirement.
What if the customer refuses part of the delivery?
Record the refused quantity and reason on the note, have the receiver sign it, and invoice only what was accepted.
