Accounting software for pharmacies in UAE with VAT set per product

A community pharmacy in Al Ain sells prescription medicines, over-the-counter products, baby formula, skincare and vitamins from the same counter. Some items are zero-rated, many carry 5% VAT, insurers pay part of each prescription, and stock has expiry dates. HelloBooks holds the VAT treatment on each product, tracks batches and expiry on the Business plan, and lets the AI agent post supplier invoices and insurer payments for the pharmacist-in-charge or owner to review.

Pharmacy chart of accounts

Pharmacies need stock and sales split by VAT treatment and by payer. HelloBooks gives pharmacies a layout built around those two splits.

  • Stock: listed medicines, other medicines, OTC and wellness, cosmetics
  • Sales: cash, card, insurance-covered prescriptions
  • Insurance receivables and patient co-payments
  • Supplier rebates and bonus stock from distributors
  • Expired and damaged stock write-offs

Why VAT is set item by item

Medicines and medical equipment are zero-rated only if they appear on the list issued by Cabinet Decision; medicines and equipment not on the list, and other medical supplies, are standard-rated at 5%. Skincare, toiletries and general goods sold in the shop are also 5%. A single receipt can therefore mix rates.

HelloBooks stores the treatment on each product, so the agent applies it on every sale and purchase, and the VAT 201 draft shows zero-rated and standard-rated sales separately. Check new products against the current list, or with your distributor and tax agent, before setting a zero rate.

What the AI agent takes off the counter

Distributor invoices with dozens of lines are read in full: product, batch, expiry, quantity and VAT. Bonus units are recorded at zero cost and rebates as credits. Daily sales are drafted from the till export you upload, and insurer remittances are matched to submitted claims.

Ask “which batches expire in the next 60 days?” or “how much have we sold of zero-rated medicines this quarter?” The owner still approves write-offs of expired stock and reviews any product whose VAT code has changed.

Reports and configuration

Pharmacy owners watch margin by category, near-expiry stock, insurer ageing and rebates due from distributors. For a pharmacy with AED 520,000 of quarterly sales where AED 340,000 is zero-rated medicine, input VAT recovery stays intact because zero-rating allows it.

Product-category structures, rebate tracking rules and insurer statement layouts can be configured. Contact hello@hellobooks.ai or use /book-a-demo.

FAQ

Frequently asked questions

Are all medicines zero-rated in the UAE?
No. Only medicines and medical equipment on the Cabinet’s list are zero-rated. Unlisted medicines and other medical supplies are standard-rated at 5%.
Can HelloBooks track batch numbers and expiry dates?
Yes, with lot and batch inventory on the Business plan. The agent reads batch and expiry from supplier invoices and can list stock nearing expiry.
How are distributor bonus units recorded?
Bonus units are added to stock at zero cost, which lowers the average cost of the item. The agent picks them up from the invoice lines.
Does HelloBooks link to pharmacy POS systems?
No. You upload the daily sales export and the agent drafts the sales entry with VAT split by treatment.
