Accounting software for training institutes in UAE, from enrolment to course completion

A training centre in Al Qusais runs IELTS preparation, accounting certificates and short management courses for corporate clients. Students pay in full or in two instalments, companies pay on 60-day terms, freelance trainers invoice per batch and exam fees pass through to the awarding body. HelloBooks tracks each course batch as its own profit line, with the AI agent posting enrolments and trainer bills while the centre manager reviews income and VAT.

Chart of accounts for a training centre

Training businesses sell batches with fixed costs, so profitability is measured per course run. HelloBooks gives institutes this starting chart, with a class for each course and batch.

  • Course fee income: individual students and corporate contracts
  • Fees received in advance for courses not yet delivered
  • Exam and certification fees collected for awarding bodies
  • Trainer fees, course materials, classroom rent and online platform costs
  • Marketing and lead generation per course

Is a training course zero-rated?

Usually not. Government guidance on education says the zero rate applies to qualifying institutions: nurseries, pre-schools, schools, and higher education institutions owned or funded by the federal or local government, teaching a recognised curriculum. Education provided by other entities is standard-rated at 5%. Most private training centres and language institutes therefore charge VAT on their fees.

Exam fees collected on behalf of an awarding body may be treated as a disbursement if the FTA’s conditions are met, or as part of your own supply if they are not. Decide this with your tax agent; HelloBooks then records the line consistently.

How the AI agent helps the centre manager

When a student enrols on a AED 3,150 course with two instalments, the agent issues the tax invoice, records the first payment and schedules a reminder by WhatsApp or email for the second. Corporate purchase orders become invoices against the right batch. Trainer invoices are read and posted to that batch, so its margin is visible as soon as the course ends.

Ask “which courses ran at a loss this term?” or “which companies owe us for October batches?” The manager approves refunds for students who withdraw and confirms each trainer payment.

Reports and custom set-ups

Batch profitability, fees received in advance, corporate receivables and trainer cost per student hour are the usual reports. A batch of 14 students at AED 3,000 with AED 15,500 of trainer and room costs leaves AED 26,500 before marketing.

If you want course codes in the chart, an enrolment invoice template or approval rules for refunds, the HelloBooks team can configure them. Book at /book-a-demo or email hello@hellobooks.ai.

FAQ

Frequently asked questions

Do private training centres charge VAT?
Generally yes. Zero-rating applies only to qualifying institutions such as schools and government-owned or funded higher education. Other education services are standard-rated at 5%.
Can I track profit per course batch?
Yes. Each batch is a class or project, so fees, trainer costs and materials sit together in one report.
How are instalment plans handled?
The agent sets up the schedule, sends reminders and matches each payment when it appears on your bank statement upload.
