Accounting software for event management companies in UAE, one event at a time

An events company in Dubai plans a product launch at a hotel ballroom, a gala dinner in Abu Dhabi and an exhibition stand at a Dubai trade show in the same month. Clients pay 50% upfront, venues demand deposits, AV and staging suppliers want paying before the doors open, and the final invoice depends on last-minute changes. HelloBooks gives each event its own margin, with the AI agent posting supplier bills and deposits and the account director approving the final bill.

Chart of accounts for events

Event companies make or lose money per event, and timing between client and supplier payments drives cash. HelloBooks gives events businesses this structure, with a project for each event.

  • Event management fees and production income
  • Client deposits received before the event
  • Venue hire and venue deposits paid
  • AV, staging, décor, entertainment, catering and hostesses
  • Event permits, insurance, freight and storage

VAT on events

Event services delivered in the UAE are generally standard-rated at 5%, and services connected with an event held in the UAE are usually taxed in the UAE even when the client is based abroad. Deposits received from clients normally create a VAT liability when received, so the agent issues a tax invoice for each deposit and deducts it from the final bill.

Venue deposits you pay carry input VAT when the venue issues a tax invoice; keep the invoice to recover it. Refundable security deposits that are returned in full are not a supply. When in doubt, confirm with your tax agent.

What the AI agent does in the run-up and after

Supplier quotes become purchase commitments against the event budget; invoices from the AV company or florist are read and posted. Client deposits are invoiced and matched when paid. After the event, tell the agent “add 40 extra covers at AED 285 and the late-night extension” and it drafts the final invoice with deposits deducted.

Ask “what is our margin on the gala dinner so far?” or “which suppliers are due before Thursday’s launch?” The account director approves the final invoice and the finance team approves each supplier payment.

Reports event teams use

Margin per event, deposits held, supplier payments due this week and client receivables after the event are the usual set. A conference stand billed at AED 165,000 with AED 128,000 of build and staffing costs leaves AED 37,000, a 22% margin, before overheads.

Event budget templates, deposit invoice layouts and approval limits for last-minute supplier changes can be set up. Email hello@hellobooks.ai or book at /book-a-demo.

FAQ

Frequently asked questions

Can I see profit per event?
Yes. Each event is a project, so revenue, supplier costs and staff costs appear together with the margin.
Is an event for an overseas client zero-rated?
Usually not when the event takes place in the UAE; services connected with a UAE event are generally taxed here. Check each contract with a tax agent.
How are client deposits recorded?
The agent issues a tax invoice for the deposit, posts it to client deposits and deducts it from the final invoice after the event.
