Restaurant daily sales bookkeeping in the UAE: from Z report to ledger

A restaurant in the UAE earns money through four or five doors at once: cash in the drawer, card terminals, delivery apps and sometimes corporate accounts. Each pays on a different schedule and deducts different fees. Unless daily sales are booked in a consistent way, the owner never really knows the food cost or the true cost of delivery. Here is a daily routine that takes ten minutes and survives a busy Friday.

One daily entry, many payment channels

The anchor is the end-of-day Z report from your till. It shows net sales, VAT, discounts and the split by payment method. Book that as one daily sales entry, with each payment method going to its own clearing account: cash on hand, card clearing, and one clearing account per delivery platform. Revenue and output VAT are recognised on the day of sale, regardless of when the money arrives.

HelloBooks does not connect to point-of-sale systems. The practical route is to photograph or upload the Z report each night. The AI reads it like any receipt and drafts the daily sales journal from the totals, with VAT at 5% on the taxable sales. The manager checks the draft against the printout and approves it.

Worked example: a Thursday in Jumeirah

A café in Jumeirah has a Z report showing sales of AED 8,925 including VAT. That is AED 8,500 net and AED 425 VAT. Payment split: cash AED 1,260, cards AED 5,040, one delivery app AED 2,625. The daily entry credits sales AED 8,500 and output VAT AED 425, and debits the three clearing accounts with those amounts.

Two days later the card acquirer deposits AED 4,939 after a 2% fee. The bank statement upload shows the deposit; the AI matches it to the card clearing account and books the AED 101 difference to card charges. A week later the delivery app pays its weekly settlement net of commission, and the same matching happens against that platform's clearing account.

Delivery apps: the costs owners underestimate

Delivery platform commission in the UAE can be a large slice of each order, and the platforms usually invoice it with VAT. If you record only the net settlement as sales, the commission vanishes and so does the input VAT on it. Book gross sales from your Z report, then book the platform's commission invoice as a bill. The AI reads those invoices and suggests the account and VAT treatment.

Once commission is visible, the owner can ask the AI 'what did delivery cost us as a percentage of delivery sales last month?' and get a real answer. Many restaurants discover that a delivery order earns them far less than a dine-in order of the same size, which changes how they price delivery menus.

Cash control in ten minutes

Cash is where restaurant books drift. A short routine keeps it honest.

  • Count the drawer at close and record any overage or shortage against a cash differences account.
  • Bank cash at least twice a week, and keep the deposit slip as an attachment.
  • Pay petty expenses from a separate float, not from the till, and photograph every receipt.
  • Let the AI match each cash deposit to the cash on hand account when the statement is uploaded.
  • Review the cash differences account weekly; persistent shortages need a conversation, not an adjustment.

Food cost, the number that decides survival

With daily sales in the ledger and supplier bills read by the AI as they arrive, the food cost percentage becomes a monthly report instead of a guess. A typical target for a casual dining concept is somewhere around 28% to 35% of food sales, depending on the menu. If your fish supplier in Deira raised prices by 12% in March, the AI's price-change flag on the bill will tell you before the month-end report does.

Groups with several outlets can track each branch as a class or location and compare them. If you want a restaurant-specific chart of accounts, covers-based reports or a custom daily sales template, the HelloBooks team can set it up; book a time at /book-a-demo.

FAQ

Frequently asked questions

Does HelloBooks integrate with my POS system?
No. HelloBooks does not offer POS integrations. Restaurants upload or photograph the daily Z report, and the AI drafts the sales entry from it for a manager to approve.
Do I record VAT when the customer pays or when the money reaches my bank?
For a restaurant, output VAT is tied to the sale, which is the day the customer is served and pays at the till or through the app. The later settlement from the card acquirer or platform does not change the VAT date.
How do I handle service charges and tips?
Treatment depends on whether the charge is mandatory and who keeps it. Record them in a separate account so they are visible, and confirm the VAT treatment with your tax agent, then set it as a rule for the AI.
Can I see sales by branch?
Yes. Tag each daily sales entry with the branch as a class or location, and reports such as the P&L can be filtered or compared by branch.
