Is AI accounting software secure? Questions UAE businesses should ask

Handing your bank statements, supplier bills and salary journals to an AI tool is a reasonable thing to worry about. The honest answer to 'is it secure?' is that it depends on the vendor's controls and on yours. Most real incidents in small UAE companies come from shared passwords and over-broad access, not from exotic attacks on the AI. This post sets out what to ask and what to set up.

Where the real risks are

When we look at how financial data actually leaks or gets misused in small businesses, the pattern is dull. A former employee still has a login. The owner, the accountant and two staff share one account, so nobody knows who changed a supplier's bank details. Statements are emailed around as attachments and end up in personal inboxes. An AI ledger does not create these risks, but it does not remove them either unless access is set up properly.

The newer risk is invoice fraud. A fake email 'from' a regular supplier announces new bank details, and an AED 87,000 payment goes to the wrong account. Good software helps here by flagging changes to supplier bank details and by keeping approvals separate from payment.

Questions to put to any vendor

Ask these in writing and keep the answers with your records. A vendor that cannot answer them clearly is telling you something.

  • Where is my data hosted, and who at your company can see it, under what controls?
  • Is my data used to train models that other customers benefit from, and can I opt out?
  • Can each user have their own login with roles that limit what they see and do?
  • Is there an audit log of every create, edit, approval and deletion, with names and times?
  • What happens to my data if I leave, and in what format can I export it?
  • Which independent certifications or audits do you hold today, not planned?

Controls you can switch on in HelloBooks

Every person who touches the books should have their own login. With advanced role-based access on the Business plan, a sales coordinator can raise invoices but not see payroll, a site manager can approve bills for one project but not edit the chart of accounts, and your outside accountant can review everything without the right to delete. The audit log records who did what and when, which deters casual misuse and answers questions quickly when something looks odd.

Approval rules add a second pair of eyes. Set any bill above a limit you choose, or any bill from a supplier whose bank details changed recently, to need the owner's approval. The AI drafts and checks; it does not move money. Payments are released from your bank by your own authorised signatories.

What the AI sees and what it does with it

To read a bill, the AI has to see the bill. To answer 'who owes me money?', it has to read your receivables. That is the point of the tool. What matters is that its actions stay inside your books and are visible: every entry it drafts is marked as AI-created, every change a person makes is logged, and nothing is filed with the FTA or paid without a person.

Keep personal data minimal. Expense claims need a receipt and a business purpose, not a copy of the employee's passport. Payroll detail can stay in HelloTime with only the salary journal posting to the ledger. The UAE's federal personal data protection law and sector rules may apply to your business, so ask your legal adviser what applies to you.

A worked example: the changed bank details email

A Dubai logistics company received an email that appeared to come from its fuel supplier, asking that the next payment of AED 64,300 go to a new IBAN. The accounts assistant updated the supplier record. Because the company had set a rule that any bank detail change sends the next bill to the owner for approval, the payment request stopped in the owner's queue with a flag beside it.

The owner called the supplier on a number from the original contract, not the email. The request was fraudulent. The audit log showed exactly who changed the record and when, which helped the company tighten its process without blaming anyone unfairly.

A short security routine

Review users monthly and remove anyone who has left. Never share logins. Turn on approvals for supplier detail changes and large payments. Keep statements and bills inside the ledger rather than in email threads. FAQ

Frequently asked questions

Can the AI make payments from my bank account?
No. HelloBooks records bills, routes approvals and matches payments when you upload bank statements. Payments are made from your bank by your authorised signatories.
Can my accountant access my books without my password?
Yes, and they should. Invite them as a separate user with the role you choose. Sharing your own login removes the audit trail and makes it impossible to tell who changed what.
Does HelloBooks connect live to my UAE bank?
No. You upload statements in PDF, CSV or Excel. That means HelloBooks never holds your online banking credentials, which some owners see as an advantage.
What should I do if someone leaves the company?
Deactivate their login the same day. Their past actions remain in the audit log, and any items waiting for their approval can be reassigned.
