How to ask AI for a profit and loss and get an answer you can use

Many UAE owners have never opened their own P&L. They wait for the accountant to send a PDF, glance at the bottom line and close it. Being able to ask the books a question in plain English changes that. It also creates a new risk: answers that sound confident but rest on incomplete data. This post shows the questions that work, the follow-ups that matter and how to check what comes back.

Start broad, then narrow

The first question can be simple: 'show me my profit and loss for last quarter'. HelloBooks returns the report from the ledger with revenue, cost of sales, gross profit, overheads and net profit. The real value is in the next question. 'Why did gross margin fall compared with the quarter before?' 'Which three expense lines grew the most?' 'How much of revenue came from my top five customers?'

Each answer comes from the same posted transactions your accountant uses, not from a separate model of your business. You can open any figure and see the entries behind it.

Questions that tend to be most useful

From watching owners use this, the questions that change decisions look like these.

  • What did each service line earn after direct costs this year?
  • Which costs are higher than the same month last year, and by how much in AED?
  • How much did I spend on subcontractors on the Al Reem project?
  • If sales stay at this level, when do I go below AED 200,000 in the bank?
  • What is my rent as a percentage of revenue, by branch?

Worked example: a clinic owner in Al Barsha

A clinic owner asks for the P&L for the first half of the year. Revenue is AED 1.84 million and net profit AED 212,000, down from AED 305,000 the year before. She asks why. The AI shows that revenue rose 6%, but consumables rose 19% and locum doctor fees rose by AED 71,000. She asks which months the locum costs were highest; the answer is March and April, when one doctor was on extended leave.

Her final question is the practical one: 'what would profit have been without the extra locum cost?' The AI answers roughly AED 283,000, and makes clear that this is a simple adjustment, not a forecast. Ten minutes of questions told her more than the PDF she used to receive every quarter.

How to sanity-check an answer

Plain-English answers are only as good as the ledger. Before trusting a figure, ask three things. Is the period complete: have all bank statements been uploaded and bills entered? Are there large items still waiting for review? Has the month been closed and reviewed by your accountant? The AI will tell you if a period has unmatched bank lines or unreviewed items, and you should ask it directly: 'is anything missing from June?'

Also watch the basis. A P&L includes invoices issued but not yet paid and bills received but not yet settled. If you want to know about cash, ask a cash question: 'how much cash came in from customers in June?' Mixing the two is the most common source of confusion we see.

Where the accountant still adds value

The AI answers questions about what happened. An accountant helps with what it means: whether a cost should be capitalised, whether a provision is needed, how a figure affects corporate tax. Use the plain-English answers to prepare better questions for your accountant, not to replace the conversation.

If you want the P&L laid out differently, by department, project or brand, or a monthly management pack in a fixed format, ask our team at hello@hellobooks.ai; layouts and reports can be customised.

FAQ

Frequently asked questions

Can I ask questions in Arabic?
HelloBooks' interface and question box work in English. The AI reads Arabic documents, but questions about your reports should be asked in English for now.
Is the answer the same as the report my accountant sends?
It uses the same ledger. Differences arise only if your accountant has made adjustments outside the system or the period has changed since their report. Ask the AI for the P&L as at the date of their report to compare.
Can the AI forecast next quarter?
It can project simple trends from your history, such as cash running down at the current spending rate. Treat these as rough guides. Real forecasts need assumptions about prices, hiring and customers that only you can supply.
Can my staff ask questions too?
Yes, within the access their role allows. A branch manager can be limited to their branch's figures, so they can ask about their own results without seeing the whole company.
