Setting up the chart of accounts for a new UAE company with AI

The chart of accounts is the first decision in a new company's books and the one owners think about least. Get it wrong and every report afterwards is harder to read, VAT reviews take longer and the corporate tax computation needs manual reshuffling. Get it right and the AI can code almost everything with little help. Here is how we approach it for a newly licensed UAE company.

Start from the questions you will ask

A chart of accounts is really a list of the questions the owner, the accountant and the FTA will ask. The owner wants to know margin by product line and what the office costs. The accountant needs clean balances for receivables, payables, VAT and fixed assets. Corporate tax needs certain costs visible on their own, such as entertainment and related-party charges, because they may be treated differently in the computation.

If a question matters, it needs an account or a tag. If it does not, it should not get its own account. Most small UAE companies need between 60 and 120 accounts, not 400.

The accounts every UAE company needs

Whatever the business, these deserve their own lines from day one.

  • Output VAT and input VAT control accounts, plus a VAT payable or refundable account for the return.
  • A separate account for input VAT that is not recoverable, so blocked items are visible.
  • Bank accounts per currency: an AED current account and any USD or EUR accounts held.
  • Trade licence and government fees, kept apart from general admin costs.
  • Client entertainment, separate from staff welfare.
  • Owner or shareholder current account, so personal and business money do not blur.
  • Prepayments, for annual rent and licence payments spread over the year.
  • Employee end-of-service benefit provision, even if calculated manually.

How the AI helps with set-up

When you create a company in HelloBooks, tell the AI what the business does in a sentence: 'a two-person interior design studio in Dubai Design District, VAT registered, selling design services and some furniture'. It proposes a chart of accounts built for that activity, with the UAE VAT accounts already in place. You can then ask it to add or merge accounts in plain English: 'split furniture sales from design fees' or 'I do not need a vehicle expenses account'.

The bigger win comes later. Because the accounts are clear, the AI codes incoming bills with fewer corrections. A vague chart with one 'general expenses' account trains the AI to dump everything there, which is precisely what you do not want.

Worked example: a new trading company in Ajman

A newly licensed general trading company in Ajman Free Zone expects about AED 2.5 million in first-year sales of building hardware, roughly 70% to UAE customers and 30% exported to Oman. The AI proposes separate sales accounts for local and export sales, which makes the zero-rated export figure on the VAT return easy to support. It adds a stock account, cost of sales, freight inward and customs duty, and a clearing account for goods in transit.

The owner adds one request: track sales by salesperson. Instead of creating an account per person, which would bloat the chart, the AI suggests a class tag. Reports can then be filtered by salesperson without changing the accounts.

Mistakes we see repeatedly

The most common is copying a chart from a previous employer or a foreign template, which brings in accounts for taxes the UAE does not have and misses the ones it does. The second is creating accounts for every supplier; that is what supplier records are for. The third is changing account meanings mid-year, which breaks every comparison.

Set it up carefully once and lock the structure, with changes going through the accountant. If your firm wants a standard chart for all clients in a sector, such as clinics or contractors, the HelloBooks team can build and maintain it for you; book a call at /book-a-demo.

FAQ

Frequently asked questions

Is there an official UAE chart of accounts?
No. The FTA does not prescribe a chart of accounts for private businesses. Your chart needs to support accurate VAT returns, financial statements and corporate tax records, and most companies follow IFRS-based reporting.
Can I change the chart later?
Yes, but plan changes for the start of a period and record why. Adding accounts is easy; renaming or merging accounts with history makes comparisons harder.
Should I use account numbers?
We recommend them. Numbered ranges, such as 1000s for assets and 6000s for overheads, make reports easier to read and keep groups consistent across entities.
Do free zone companies need a different chart?
The structure is similar. A free zone company may need extra visibility on income from different types of activity for corporate tax purposes, so discuss that with your tax adviser before finalising the accounts.
