How to choose accounting software in the UAE: a buyer’s checklist

Choosing accounting software in the UAE is harder than it looks, because most products were built for another country and adapted later. The demo always looks good. The problems appear in month three, when the VAT return needs an emirate split or an Arabic bill will not read. This checklist is what we would ask any vendor, including ourselves, before signing.

Start with your own transactions

Before looking at products, list the ten transactions your business does most and the five that cause trouble. A trading company might list imports with customs duty, sales to GCC customers, and USD supplier payments. A clinic might list insurance receivables and exempt or zero-rated services. Take those lists into every demo and ask the vendor to show each one with your documents, not theirs.

UAE tax basics the software must handle

Any serious product for UAE businesses should do all of the following without workarounds.

  • VAT treatment per invoice line: standard-rated, zero-rated, exempt, out of scope and reverse charge.
  • A VAT 201 draft with standard-rated sales split by emirate, ready for review before filing on EmaraTax.
  • Tax invoices and tax credit notes that carry the fields the FTA requires, in AED.
  • Multi-currency invoicing and bills, with FX gains and losses tracked.
  • Records that support corporate tax computations from the same ledger.

Ask hard questions about e-invoicing

The UAE's e-invoicing programme starts going live from 1 January 2027 for larger businesses, and businesses must appoint an accredited service provider from the Ministry of Finance list. Ask any vendor exactly what they do: are they accredited, do they connect to an accredited provider, or do they simply keep clean invoice data? Be wary of vague answers.

To be direct about our own position: HelloBooks is not an accredited provider. It keeps the complete invoice records you will need, with TRNs, customer details and line-level VAT, so that whichever accredited provider you appoint has accurate data to work from.

Test the AI claims properly

Almost every product now says it uses AI. Ask what the AI actually does. Can it read a bilingual bill and draft the entry with the right VAT treatment? Does it match bank statement lines to invoices? Can you ask a question in plain English, such as 'what were my biggest five expenses last quarter?', and get an answer from the ledger? Then ask the opposite question: what does a person still have to review? A vendor who says 'nothing' is overselling.

Bring 30 of your own bills to the trial and run them through. Score what comes back. Our post on measuring AI bookkeeping accuracy explains a simple method.

Banks, payroll and the rest of the stack

Ask how bank data gets in. Live feeds for UAE banks are rare; most products, HelloBooks included, rely on statement uploads in PDF, CSV or Excel. That is workable if the matching is good. Ask about payroll too: HelloBooks connects to HelloTime, which posts salary journals into the ledger. WPS salary files and end-of-service gratuity calculations need checking with whichever payroll provider you use.

Finally, think about who else uses the system. If your outside accountant already works in a particular product, that counts for a lot. Many UAE firms now run their clients on HelloBooks through the Partner Program or a white-label licence under their own brand.

Worked example: scoring three options

A Sharjah distribution company with AED 14 million turnover scored three products out of five on six criteria: VAT 201 support, Arabic bill reading, bank matching, multi-currency, inventory across two warehouses and accountant access. The cheapest option scored well on invoicing but failed the emirate split and multi-warehouse tests. The decision took two afternoons because the team tested with real documents instead of watching demos.

If none of the options fits a specific need, such as a custom invoice layout in Arabic and English or approval rules by branch, ask whether the vendor will configure it. At HelloBooks we do this on request through /book-a-demo.

FAQ

Frequently asked questions

Does the software need to be FTA-approved?
The FTA does not run a general approval list for accounting software. What matters is that your records, tax invoices and returns meet the rules. For e-invoicing, the Ministry of Finance publishes the list of accredited service providers, which is a separate question.
Do I need an Arabic interface?
Most UAE businesses work in English, but many receive Arabic documents. Check that the software reads Arabic bills and receipts reliably. HelloBooks reads both languages on documents; its interface is in English.
How long should a trial be?
Long enough to run one full month: bills, invoices, bank uploads and a draft VAT summary. Two weeks of clicking around tells you very little about month-end.
Can I move my history from my current system?
Usually you bring in opening balances, open invoices and bills, and the chart of accounts, then keep the old system read-only for history. Ask each vendor what they import and who does the work.
