Reclaim Input VAT UAE Without Missing Receipts | HelloBooks Match every purchase to a valid tax invoice, flag missing supplier TRNs and stop losing recoverable input VAT to lost paper receipts.

Use case · VAT

Reclaim input VAT UAE suppliers charged you, with every invoice in place

Every AED 100 of standard-rated spend carries AED 5 of VAT you may be able to recover. Small businesses lose a surprising amount of it to faded thermal receipts, invoices without a TRN and card payments nobody documented. HelloBooks matches each purchase in the bank to a supporting document, and the AI agent tells you which claims are weak before your return goes in.

How the HelloBooks AI agent handles it

You ask in plain English, the AI does the bookkeeping work, and you or your accountant approve the result.

  • You ask: “How much input VAT am I claiming this quarter that has no proper tax invoice behind it?”
  • The AI agent: The agent checks each purchase carrying input VAT for an attached document, a supplier TRN and a VAT amount that matches 5% of the net, and totals the VAT at risk by supplier.
  • You review: You request proper invoices from the suppliers on the list or remove those amounts from the claim. Your accountant decides the final recoverable figure.

What recovery depends on

Input tax is recovered on costs used for taxable supplies, and the claim needs to be backed by the right documents, normally a tax invoice from a registered supplier. The Ministry of Finance says that, from 1 January 2026, businesses must check the supplies they rely on before claiming input tax, and the FTA can deny a deduction where the supply forms part of a tax-evasion arrangement. The same amendments set a five-year limit for reclaiming excess refundable tax.

In plain terms: keep the invoice, make sure the supplier is real and registered, and do not leave refunds sitting for years.

How the matching works

Bank statement lines are imported and matched to bills. Where a card payment has no bill, HelloBooks raises a "missing document" task for whoever made the payment. When a photo or PDF arrives, the AI reads supplier name, TRN, date, net, VAT and total, and links it to the payment.

  • Flags bills where VAT is not 5% of the net amount
  • Flags suppliers with no TRN, or a TRN that is not 15 digits
  • Flags blocked categories you set, such as staff entertainment
  • Shows input VAT at risk by supplier and by employee

Worked example: a Dubai events company

An events company spends AED 640,000 plus VAT in a quarter, so it expects to recover AED 32,000. The HelloBooks check finds AED 2,900 of VAT on 41 card payments with no document, and AED 1,150 on invoices from three suppliers with no TRN printed. The office manager collects 33 of the missing receipts in a week. The remaining AED 900 is left out of the claim, and the accountant files with confidence in the rest.

FAQ

Frequently asked questions

Is a card slip enough to claim input VAT?
Usually not on its own. A card slip proves payment, not the supply and the VAT charged. Ask the supplier for a tax invoice and attach it in HelloBooks.
Can HelloBooks check a supplier's TRN with the FTA?
HelloBooks checks that a TRN is present and well formed. The FTA offers its own TRN verification service on its website, which you can use for suppliers you have doubts about.
Can employees submit receipts themselves?
Yes. Staff can photograph receipts in the mobile app as part of an expense claim, and the VAT is captured at the same time.
