Convert quote to invoice UAE style, with VAT carried through

In the UAE, most B2B work starts with a quotation: a fit-out company prices a villa kitchen, a supplier quotes a hotel for linen, an agency quotes a launch campaign. The job goes wrong when the accepted quote is retyped into an invoice and a line, a discount or the VAT treatment changes along the way. HelloBooks keeps the quote and the invoice as one chain, so what the customer agreed is exactly what they are billed.

How the HelloBooks AI agent handles it

You ask in plain English, the AI does the bookkeeping work, and you or your accountant approve the result.

  • You ask: “Draft a quote for Al Noor Interiors: 3 days of site survey at AED 1,800 a day and a design pack at AED 9,500.”
  • The AI agent: The AI builds the quotation in AED with each line, applies 5% standard-rated VAT, uses the customer's saved TRN and address, and sets a validity date from your default terms.
  • You review: You check prices, terms and validity, send it, and later confirm the conversion into a tax invoice once the customer accepts.

The quote-to-cash chain

A quotation in HelloBooks is a sales document, not a ledger entry, so it has no effect on revenue or VAT until it becomes an invoice. When the customer accepts, you convert it. The invoice inherits lines, quantities, prices, discounts and per-line VAT treatment, and carries a reference back to the quote.

  • Draft: create the quote by hand or ask the AI in plain English
  • Send: email it as a PDF or share the link; the status shows sent or viewed
  • Accept: mark accepted, or convert part of it if the client approves only some lines
  • Invoice: convert into a tax invoice with the next number in your sequence

When the tax invoice must go out

A quote is not a tax invoice and does not create a VAT liability. Under Article 67 of the VAT law, a registrant must issue the tax invoice within 14 days of the date of supply, and Article 25 makes receipt of payment one of the events that can fix that date. So if a customer pays a deposit against an accepted quote, VAT can become due on that amount before the work is finished.

The AI watches for this. When a payment lands against an accepted quote that has not been invoiced, it suggests an invoice for the amount received so the VAT falls in the right return period.

Worked example: an events company in Abu Dhabi

You quote a corporate gala for AED 84,000 plus VAT of AED 4,200. The client accepts but cuts the photo booth line of AED 6,000. You convert the quote, remove that line, and the invoice comes to AED 78,000 plus AED 3,900 VAT, total AED 81,900.

The client paid a deposit of AED 25,200 two weeks earlier, and the AI had already prompted an advance invoice for it. The final invoice deducts the deposit, so the balance due is AED 56,700. If you want your quote layout in your brand colours, with Arabic and English headings or specific terms, invoice layouts can be customised; book a call at /book-a-demo.

FAQ

Frequently asked questions

Can I convert only part of a quote?
Yes. Edit the converted invoice to remove or reduce lines before you send it; the link to the original quote remains.
Does a quotation show VAT?
It can, and it should for VAT-registered businesses, so the customer sees the total cost. It is still not a tax invoice.
Can quotes be in USD for an overseas client?
Yes. Quote and invoice in USD, EUR or other currencies; HelloBooks records the AED equivalent for VAT and reporting.
Can the AI chase quotes the client has not answered?
Ask it which quotes are older than 14 days without a response, and it lists them so you can follow up by email or WhatsApp.
