Manage multiple companies accounting UAE founders juggle every day

It is common in the UAE for one founder to own a mainland trading LLC, a free zone company for exports and perhaps a holding company or a property-owning entity. Each has its own licence, bank accounts and tax position. HelloBooks keeps each company in its own set of books under one login, and the AI agent answers questions across them when you need the big picture.

How the HelloBooks AI agent handles it

You ask in plain English, the AI does the bookkeeping work, and you or your accountant approve the result.

  • You ask: “Across all my companies, what cash do we have and what is owed to us?”
  • The AI agent: The agent reads the latest bank balances and receivables in each organisation you have access to, lists them by company and gives a total, noting balances that are owed between your own companies.
  • You review: You check that intercompany balances agree on both sides and decide, with your accountant, how to settle or document them.

Separate books, one place to work

Each company is its own organisation in HelloBooks with its own chart of accounts, TRN, VAT settings, bank accounts and users. Switching between them takes a click. Multi-entity management is part of the Business plan, along with the audit log and advanced role-based access.

  • One login, many companies
  • Separate VAT and corporate tax settings per company
  • Users who see only the companies they need
  • Same chart of accounts across companies, if you want it

Tax positions can differ, so keep them apart

A free zone company that is a qualifying free zone person may pay 0% on qualifying income, while a mainland company pays 9% on taxable income above AED 375,000. Small business relief is not available to qualifying free zone persons. Keeping each entity's books separate is what lets a tax agent apply the right rules to each.

Worked example: a founder with three entities

A founder owns a mainland LLC in Dubai selling to local retailers, a company in a free zone that imports and re-exports to Africa, and a small company holding two warehouses. The free zone company sells AED 600,000 of goods to the LLC each quarter. HelloBooks records the sale in one and the purchase in the other, and the agent checks monthly that both sides show the same balance. A AED 12,000 gap in March turns out to be a credit note recorded on one side only.

Yes. Give them access to each organisation. Accounting firms in our Partner Program can work across all their clients' companies from the same login.
Can companies share customers and items?
Each company keeps its own lists, which keeps its records clean. We can help copy a master list across companies when you set up; write to hello@hellobooks.ai.
Can I see the companies combined?
Yes, in summary through the AI agent and reports run per company. For a formal consolidation see our guide to consolidating a mainland and free zone company.
