Accounts Payable Ageing UAE: Plan Supplier Payments | HelloBooks Use AP ageing to see what you owe and when, then let AI suggest a weekly payment run that fits your bank balance and supplier terms.

Use case · Payables

Accounts payable ageing UAE finance teams use to plan each pay-run

Paying suppliers too early drains cash; paying them too late damages relationships and, in a small market like the UAE, your reputation. An AP ageing shows every unpaid bill by due date. HelloBooks keeps it current and the AI agent proposes a payment run each week based on what is due, what is in the bank and which suppliers matter most.

How the HelloBooks AI agent handles it

You ask in plain English, the AI does the bookkeeping work, and you or your accountant approve the result.

  • You ask: “I have AED 180,000 to pay suppliers this week. What should I pay?”
  • The AI agent: The agent lists bills due or overdue, puts suppliers you have marked critical first, then sorts by due date and any early-payment discount, and proposes a run that fits within AED 180,000.
  • You review: You adjust the list, approve the run, and make the payments in your banking portal. HelloBooks does not move money; it records the payments when you upload the statement.

What the ageing shows

Bills are grouped into not yet due, 1-30 days overdue, 31-60 and beyond, by supplier. Next to each supplier you see their usual terms, the last payment date and any credit notes waiting to be applied. That last point matters: unapplied credit notes are one of the most common reasons UAE businesses overpay suppliers.

The same view answers a practical question before Eid or summer closures: how much must leave the account before suppliers shut for the holiday, and how much can wait until they return.

Building a sensible payment run

The suggested run follows rules you set. Some suppliers are always paid on time: the landlord, the freight forwarder that holds your containers, the subcontractor whose workers need their wages. Others can wait a week without harm. The agent respects those rules and explains each choice.

  • Critical suppliers ranked first
  • Credit notes applied before payment
  • Early-payment discounts highlighted
  • Run total checked against your latest bank balance
  • A clear run list for whoever keys the payments into the bank portal

Worked example: a Jebel Ali food distributor

A frozen food distributor owes AED 410,000 to 22 suppliers, AED 245,000 of it due this week. After the last statement upload, the AED account holds AED 260,000, with AED 95,000 of salaries due on the 28th. The owner asks for a AED 160,000 run. HelloBooks puts the cold-store rent and two meat suppliers first, applies a AED 6,500 credit note from a packaging supplier, and defers three smaller bills by seven days.
