Budget template UAE: plan the year month by month

A budget turns next year's plan into dirhams by month, so you can see early when sales or costs drift. For UAE businesses the cost side is fairly predictable once you list the fixed commitments: rent cheques, licence renewal, visas, insurance and salaries. Revenue is the hard part. This template builds revenue from drivers, loads the UAE-specific costs, adds tax and finishes with a budget-versus-actual routine.

Build revenue from drivers

Avoid typing a single growth percentage. Write down what produces revenue and budget each driver: covers per day for a restaurant, billable hours for a consultancy, units per month for a distributor. Allow for seasonality: summer months and Ramadan change trading patterns for many UAE businesses, and the cooler months often bring more events and tourism.

  • Revenue lines: driver × price, per month
  • Seasonality adjustments, by month
  • New contracts or outlets, from the month they start
  • Collections timing, to link the budget to the cash forecast

Load the fixed UAE costs

These costs are known to the dirham and often fall in one or two months, which distorts monthly results if you ignore the timing.

  • Salaries and allowances, with planned raises and new hires by month
  • Visa, Emirates ID, medical insurance and labour costs per employee
  • End-of-service provision, accrued monthly
  • Rent, service charges and Ejari or tenancy costs, spread across the year in the P&L
  • Trade licence renewal and any free zone fees
  • Corporate tax, estimated on budgeted taxable income

Worked example: a Dubai café, year 2027

A single-outlet café in Jumeirah budgets from 110 covers a day at an average net spend of AED 58, with 85 covers in July and August.

  • Revenue: about AED 2,239,000 for the year, net of VAT
  • Food and beverage cost at 31%: about AED 694,100
  • Staff, 12 people including visas and insurance: AED 744,000
  • Rent and service charges: AED 330,000; utilities: AED 96,000
  • Licence, marketing, delivery platform commissions and other: AED 212,000
  • Budgeted profit before tax: about AED 162,900, below the AED 375,000 band, so no corporate tax expected

Budget versus actual in HelloBooks

Enter the budget by account and month in HelloBooks, or import it from a spreadsheet. Every month, the budget-versus-actual report shows each line with its variance. Ask the AI agent "where are we over budget this quarter?" and it lists the largest overruns with the transactions behind them.

The budget is your decision and your accountant's; the agent only reports against it. Firms that prepare budgets for clients can have a budget layout configured to their own standard by booking a call at /book-a-demo.

FAQ

Frequently asked questions

Should my budget include VAT?
Budget revenue and costs net of recoverable VAT. Put VAT payments in the cash flow forecast instead, because VAT affects cash, not profit.
How detailed should a small business budget be?
Match the main lines of your P&L. Too much detail makes it hard to maintain; too little makes variances meaningless.
When should I prepare next year's budget?
Two to three months before the year starts, after you know rent and licence renewal costs, and update it if something big changes.
