AI bookkeeping prompts UAE: a working library

The HelloBooks AI agent answers questions about your books in plain English and drafts the routine work. The quality of the answer depends partly on the question. This library collects prompts that UAE owners and accountants actually use, grouped by job, with a note on what the agent does and what you should still check. Copy them as they are, or change the names, dates and amounts to suit your business.

VAT and compliance

These prompts help you prepare, not file. The agent works from your ledger; you or your tax agent file on EmaraTax.

  • "Draft my VAT 201 working for the quarter ending 31 October."
  • "List purchase bills over AED 1,000 this quarter with no supplier TRN."
  • "Which sales invoices have no VAT treatment set?"
  • "Show reverse charge entries for imported services this year."
  • "How close am I to the AED 375,000 VAT registration threshold?"
  • "Which customers are missing a TRN?" (useful for e-invoicing readiness)

Receivables and collections

Collections prompts produce lists and drafts. You decide who gets chased and how firmly.

  • "Who owes me money over 60 days?"
  • "Draft a polite WhatsApp reminder to customers with invoices overdue by more than 30 days."
  • "Which post-dated cheques mature next week, and from whom?"
  • "What did Al Noor Clinics pay us last year, and how many days did they take on average?"
  • "Send October statements to every customer with a balance."
  • "Convert quote Q-1187 into an invoice."

Bills, cash and reporting

Use these for weekly housekeeping and for answering the owner's questions without building a spreadsheet.

  • "Record this bill" (with a photo of an Arabic or English supplier invoice)
  • "Which bills are due this week, and do we have enough in the Emirates NBD account to pay them?"
  • "Match the ADCB statement I just uploaded."
  • "Why is gross margin lower in September than August?"
  • "What did we spend on fuel and parking by vehicle this quarter?"
  • "Compare this year's P&L to budget by month."
  • "Estimate corporate tax for this year based on profit to date."
  • "List client entertainment and fines this year for the tax add-backs."

Getting reliable answers

Be specific about periods, accounts and thresholds: "this quarter" is better than "recently", and "over AED 1,000" is better than "large". Ask for the list behind a number so you can see what the agent used. If an answer looks off, ask "which transactions make up this figure?" and check them.

The agent proposes; people approve. It will not file returns, send payments or change locked periods. If your firm wants the agent to follow its own categorisation rules or produce answers in a house format, the team can configure that after a call at /book-a-demo.

FAQ

Frequently asked questions

Can I ask questions in Arabic?
The HelloBooks interface is in English, and prompts work best in English. The agent can read Arabic text on bills and receipts.
Will the AI file my VAT return?
No. It prepares the VAT 201 figures as a draft, and a person files the return on EmaraTax after checking it.
Does the agent change my books when I ask a question?
Questions only read data. Prompts that create something, such as recording a bill or drafting an invoice, produce a draft for you to approve.
Do these prompts work in general chatbots?
General chatbots cannot see your ledger, so they can only give generic answers. The prompts here are written for an agent that works on your actual books.
