Pricing bookkeeping services UAE: a scoping method

Underpricing is the most common mistake new UAE bookkeeping firms make, closely followed by pricing without a written scope. This playbook sets out a method rather than numbers: measure what drives the work, package it into fixed monthly fees, price compliance work separately and review every client once a year. It also covers where AI changes the cost of delivery and how to talk about value instead of hours.

Measure the drivers

Before quoting, look at three months of the client's bank statements and bills. The work is driven by volume and by mess, so measure both.

  • Number of bank and card accounts, and currencies
  • Monthly transactions per account
  • Number of supplier bills and sales invoices
  • Mixed VAT treatments: exports, reverse charge, exempt income
  • Inventory, projects or multiple branches
  • Quality of records: are receipts available, are statements on time?

Build fixed packages

Clients in the UAE generally prefer a fixed monthly fee they can budget for. Define two or three packages by transaction band and service level, and state what is out of scope. Charge separately for clean-up of past periods, because that work has a clear start and finish.

Price VAT returns and corporate tax computations as separate line items, even if you bundle them into a package. When a client asks for a discount, you can then remove a service rather than cut your rate.

Where AI changes the economics

When the AI agent captures bills and matches bank lines, the cost of handling each transaction drops. That does not mean the fee must drop with it. The value to the client is accurate books, a VAT return filed on time and answers to their questions. Price for that outcome, and use the time saved to take on more clients or offer advisory work.

Track your own time per client for the first few months anyway. It shows which clients are profitable and which need a fee review or a conversation about how they send documents.

Software in the fee

Partner Program firms receive wholesale terms on HelloBooks client plans and can include the software in their fee or have the client pay directly. White-label firms often present the platform as part of the firm's own service. Either way, put the software line in the engagement letter so there is no surprise. Talk to the partner team at /book-a-demo about the terms for your client mix.

FAQ

Frequently asked questions

Should I charge hourly or fixed fees?
Fixed monthly fees with a written scope suit most UAE SME clients. Keep hourly rates for ad hoc advice and work outside scope.
Do I charge VAT on my bookkeeping fees?
If your firm is VAT registered, your services are generally standard-rated at 5% for UAE clients. Check the place-of-supply rules for clients outside the UAE.
How often should fees be reviewed?
Once a year for every client, and sooner if their transaction volume or complexity changes significantly.
