Accounting software for textile traders in UAE selling by the roll and the bale

A fabric wholesaler near Naif Road buys rolls from China, India and Turkey, sells by the metre to tailors in Satwa and by the bale to buyers from East Africa, and gives long credit to regular customers. Garment traders add sizes, colours and seasonal stock. HelloBooks records stock in the units you trade, keeps buyer balances under control and handles the VAT difference between local and export sales, with the AI agent doing the posting.

A chart of accounts for textiles

Textile margins are made on volume, so stock value and buyer credit are what keep the business alive. HelloBooks starts traders with this layout.

  • Stock: fabric by type (cotton, polyester, silk, abaya crepe), ready-made garments
  • Local sales to tailors and shops, and export sales
  • Trade receivables by buyer, with credit limits
  • Purchases in USD, CNY-priced invoices converted to AED, and FX differences
  • Freight, clearing charges, warehouse rent and stock write-downs for old designs

VAT for local sales and re-exports

Fabric and garments sold in the UAE are standard-rated at 5%. Goods exported outside the GCC implementing states are zero-rated, but only with official and commercial evidence that the goods left the country. Buyers who collect goods from your warehouse and ship them themselves need particular care, because the evidence trail must still show export. HelloBooks keeps exit documents attached to each export invoice so the zero rate is supported.

Imports from overseas suppliers are usually subject to the reverse charge on your VAT 201. The agent marks those bills so your accountant can check them in the return draft.

How the AI agent handles a busy trading counter

Supplier packing lists and invoices are read and turned into stock receipts by roll and metre. When a tailor buys 85 metres of crepe, the agent drafts the invoice with VAT and reduces stock. For an export buyer, it applies the zero rate only when you confirm export documents will follow, and flags invoices still waiting for evidence.

Ask “which buyers are over their credit limit?” or “which fabrics have not moved in six months?” You approve credit beyond limits and any write-down of old stock.

Reports and custom set-ups

Buyer ageing, stock by fabric type, margin per product line and exports awaiting evidence are the core reports. A wholesaler holding AED 2.6 million of stock with AED 1.1 million owed by buyers needs both figures every week.

Units of measure, credit-limit approval rules and an invoice layout in Arabic and English for your buyers can be configured. Email hello@hellobooks.ai or book at /book-a-demo.

FAQ

Frequently asked questions

Can I track fabric stock in metres and rolls?
Yes. Items can carry the unit you trade in, and the Business plan adds lot and batch tracking for individual rolls or shipments.
Are textile exports zero-rated?
Exports outside the GCC implementing states are zero-rated if you hold the required evidence that the goods left the UAE. Without it, VAT applies.
Can I set credit limits for buyers?
Yes. The agent warns you before an invoice takes a buyer over the limit and lists overdue balances for follow-up by email or WhatsApp.
