HelloBooks vs Quicken: Real double-entry books vs personal finance with a business tab

Quicken is a personal finance manager. Neither the Quicken Business & Personal nor Quicken Classic Business & Personal product pages mention double-entry bookkeeping, a general ledger or accounts payable — the model is bank-transaction categorisation split between "business" and "personal", with Schedule C, E and F reports at year end.

That is genuinely enough for a sole trader or landlord who needs tax-schedule numbers. It stops being enough the moment you need a trial balance, accrual accounting, purchase orders, inventory valuation, a real audit trail, or an accountant with their own login.

HelloBooks is a full double-entry ledger with a free forever plan and Pro at $9.99/month. If you are searching for a Quicken alternative because your accountant asked for something Quicken cannot produce, this is the gap that page-one comparison articles usually skip.

When to choose HelloBooks

  • Your accountant has asked for a trial balance, a general ledger or accrual accounts and Quicken cannot produce them.
  • You have started paying suppliers on terms and need real accounts payable with purchase orders and approvals.
  • You need a second person — a bookkeeper, a partner, an accountant — working in the books with their own login.
  • You are carrying stock and need inventory valuation that posts to the ledger rather than a spreadsheet.
  • You have contractors and need 1099-NEC or 1099-MISC e-filed, or you have crossed sales-tax nexus in more than one state.
  • You want to try before paying — the HelloBooks Free plan is free forever rather than a 30-day money-back window.

When to choose Quicken

  • Your finances are genuinely personal-first, with a small side business attached, and one app for both is the appeal.
  • Investment and retirement tracking matters — Morningstar Portfolio X-Ray on Classic Premier has no equivalent here.
  • You are a landlord and Quicken's dedicated rental-property module fits how you already work.
  • You prefer desktop software with local data storage, which Quicken Classic still offers and most cloud products do not.
  • Your filing need stops at Schedule C, E or F and you have no supplier, payroll or inventory complexity.
  • Budgeting, planned spending and net-worth tracking are the primary job, not bookkeeping.

Frequently asked questions

Is Quicken actually accounting software?

Not in the double-entry sense. Quicken is a personal finance manager: it downloads and categorises bank transactions and, on the business tiers, splits them into business and personal and produces Schedule C, E and F reports. Neither the Quicken Business & Personal nor the Quicken Classic Business & Personal product page mentions double-entry bookkeeping, a general ledger, or accounts payable. For a sole trader that is often sufficient. For anything with suppliers, stock, staff or an accountant, it is not.

How do I know I have outgrown Quicken?

The usual signals: your accountant asks for a trial balance or a general ledger and you cannot produce one; you need accrual rather than cash accounting; you are paying suppliers on terms and want purchase orders and approvals; you are carrying inventory; you need a second person in the books; you have contractors requiring 1099 e-filing; or you have crossed economic-nexus thresholds and owe sales tax in multiple states. Any one of those is a real ceiling, not a preference.

How much does Quicken cost in 2026?

Quicken's promotional pricing is inconsistent across its own pages, so verify at the point of purchase. As fetched on 28 July 2026: Quicken Business & Personal $3.99/month billed annually; Quicken Classic Business & Personal $5.99/month; Simplifi listed at $3.99/month on the product page but $2.99/month on the pricing-comparison page; Classic Starter $3.49, Deluxe $2.99 and Premier $4.19. Note that the discounted Deluxe price is lower than Starter on Quicken's own pages. Every page states the subscription renews at the then-current rate, which is not published.

Is HelloBooks more expensive than Quicken?

On the headline number Quicken can look cheaper, but the comparison is not like for like — you are comparing a personal finance app against a double-entry accounting system. HelloBooks has a free forever plan with no credit card, and Pro at $9.99/month with unlimited users, multi-entity, API access, inventory and three-way matching. If Quicken genuinely covers your needs, stay on it; the cost difference is not the argument.

Is Quicken desktop or cloud?

Both, depending on the product. Quicken Classic is desktop software for Windows and Mac with data stored locally and companion web and mobile sync. Quicken Simplifi, Quicken Business & Personal and Quicken LifeHub are cloud-based web and mobile apps. Everything is now subscription — the perpetual licence is gone, which is one of the most-cited complaints in Capterra reviews.

Does Quicken have AI?

Barely, and it is narrowly scoped. Quicken Assist Chat is an in-product AI chat experience, documented as live rather than beta, but it is Simplifi-only and restricted to Basic subscribers. The main Simplifi product page makes no mention of AI at all, and the Simplifi Winter 2026 update listed automation rules, dashboards, vehicle valuations and CSV import with no AI features. No AI is documented for Quicken Classic or Quicken Business & Personal.

What AI does HelloBooks include?

AI auto-categorization at 95%+ accuracy, OCR bill and receipt capture with smart line-item extraction, Munimji — a conversational accounting assistant with 60+ tools — AI payables with approval routing, AI calling for overdue receivables, a CFO agent, Auto-Inbox capture from email and photos, smart error detection, and an AI Analysis tab on every standard report. The Free plan includes 2,500 AI credits per month, so you can test all of it without paying.

Can I move my Quicken data into HelloBooks?

Yes, via CSV, though be realistic about what transfers. Quicken Classic on Windows exports to Excel, QXF, QIF and PDF; Classic on Mac exports registers to CSV; Simplifi exports CSV from the web app only, not from mobile. What you will be moving is transaction history and categories, not a double-entry ledger, because Quicken never held one. The cleanest approach is to set a cutover date, enter opening balances in HelloBooks and import historical transactions for reference. Our team can help structure that.

Will my accountant prefer HelloBooks?

Almost certainly, if they are currently working from Quicken exports. HelloBooks is conventional double-entry with a chart of accounts, journals, general ledger, trial balance, aged receivables and payables, and an audit trail on every change. Your accountant gets their own login with role-based permissions rather than working from a file you email. Firms can also join our free Partner Program for a multi-client practice dashboard.

Does HelloBooks handle personal finances too?

No, and we would not pretend otherwise. HelloBooks is business books of account. It has no personal budgeting, net-worth tracking, credit-score monitoring or investment portfolio analysis. If you want one app for household budgeting and a side business, Quicken genuinely does something we do not.

What about rental property?

Quicken has a dedicated rental-property module covering income, expenses and tenant documents, and it is a real strength. HelloBooks handles property income and expenses through standard entity, class and project tracking rather than a purpose-built landlord module. If rentals are your main activity and you have no other business complexity, Quicken is the better-fitting tool.

Does HelloBooks e-file 1099s?

Yes. HelloBooks tracks contractors against the $600 threshold, holds W-9 details and e-files 1099-NEC and 1099-MISC. Quicken produces Schedule C, E and F reports and TXF export to tax software, but does not document 1099 e-filing. If you pay contractors, that is a concrete capability gap rather than a stylistic difference.

What about sales tax?

HelloBooks handles multi-state US sales tax with economic-nexus alerts and per-state return preparation, and maintains an IRS-ready ledger. Quicken does not document sales-tax or nexus tracking. For an e-commerce seller shipping across state lines, this alone usually forces the move.

Why do Quicken reviewers complain so much about updates?

It is the dominant theme in Capterra's 465 reviews: updates that introduce new bugs, force upgrades and disrupt existing functionality, alongside frustration at the move from one-time purchase to annual subscription and recurring bank-sync failures requiring manual entry. G2 reviewers add the gap between desktop and online versions and the Mac edition lacking Windows features. Capterra's aggregate is 3.9/5, the lowest of any product in our comparison set.

Is there a free HelloBooks plan I can test first?

Yes — free forever with no credit card. It includes unlimited invoices, bills, quotes and purchase orders, AP and AR aging, P&L, balance sheet and cash flow, one bank and one card via Plaid, the full iOS and Android app, up to two users and 2,500 AI credits per month. Run a month in parallel with Quicken before deciding; there is no trial clock.

Is HelloBooks secure?

HelloBooks is SOC 2 Type II certified, with the report available under NDA through the Trust Center; ISO 27001 is on the compliance roadmap and we do not describe it as certified. Data is encrypted with AES-256 at rest and TLS 1.2+ in transit, MFA is available, hosting is AWS with 99.9% uptime and daily encrypted backups, and bank connections are read-only so the software can never move money.

Migrating from Quicken?

HelloBooks supports CSV import for chart of accounts, customers, vendors, items, invoices, and bills. For QuickBooks Online, we offer a built-in two-way sync. For other platforms, our migration team can assist with a structured cutover.
