Control is where the confusion lives: Expensify's own help documentation lists $18 per member per month on annual billing (plus $36 per active member above your subscription size) and $36 per active member on pay-per-use. The "as low as $9" figure widely quoted in comparison articles is a conditional discount that scales with the share of approved monthly USD spend running on the Expensify Card, capped at 50% off. Why do so many articles say Expensify Control is $9?

Because Expensify's marketing pages lead with the discounted figure and most comparison sites copy it. The discount is real but conditional — you must run at least half of your organisation's approved monthly spend on the Expensify Card to reach the 50% maximum. Yes, with some friction. Expensify supports CSV export from the Expenses page using export templates, plus an Integration Server API and the MCP server. Two practical wrinkles: custom export templates can only be created in Expensify Classic even though they are usable in New Expensify, and non-basic exports are delivered through Concierge messaging rather than a direct download. HelloBooks imports chart of accounts, customers, vendors, items, invoices and bills from CSV with AI mapping that retains your existing account numbers.

Does HelloBooks issue corporate cards?

No. HelloBooks does not issue cards and does not move money — bank connections are read-only by design. You connect existing card feeds and reconcile them in the ledger. Expensify added VAT amount detection on receipts in June 2026, which extracts the tax figure. HelloBooks handles the compliance end as well: India GST with GSTR-1, 3B and 9 filed through a GSTN-authorized GSP plus e-invoicing and e-way bills, UK MTD-ready VAT, UAE FTA-aligned VAT, Australia BAS GST preparation, and Canada GST/HST preparation. Is HelloBooks secure enough for a finance team?

HelloBooks is SOC 2 Type II certified with the report available under NDA through the Trust Center. ISO 27001 is on the compliance roadmap and we do not describe it as certified. Data is encrypted with AES-256 at rest and TLS 1.2+ in transit, MFA is available, hosting is on AWS with 99.9% uptime and daily encrypted backups, and bank connections are read-only so the software can never move money.

Can my accountant work in HelloBooks?

Yes. The Free plan supports two users and Pro and Business support unlimited users with roles and permissions, so your accountant gets their own login. Firms managing multiple client books can join the free Partner Program, which adds a practice dashboard, bulk AI operations across clients and a directory listing.

What is Expensify clearly better at?

Employee-facing expense management at scale, corporate card issuance with spend controls, travel booking, and depth of track record — more than 5,600 G2 reviews against a much newer product. If you have a large distributed workforce filing expense reports, Expensify was built for exactly that and HelloBooks was not. We would rather tell you that than lose your trust on the first month.
