As of Oct 2026, most of the well-known accounting brands in Australia don't offer a free-forever plan at all, and the ones that do come with limits worth reading before you sign up. Here's what's actually on offer and how to tell which limits will bite you.

First, what does "free" usually mean?

Xero

Xero's Australian pricing page lists three plans: Grow, Comprehensive and Ultimate. There's no free plan. Grow is shown at $78 a month after an introductory offer of 80% off for the first three months, and Xero states its prices are in AUD and include GST. All plans include bank reconciliation, with an auto-reconcile feature for high-confidence matches.

Suits: businesses happy to pay a monthly fee for a widely used platform, especially if their accountant already works in Xero.

QuickBooks Online

The QuickBooks Australia pricing page lists four plans: Simple Start, Essentials, Plus and Advanced. There's no free plan shown; at the time we checked, the page was advertising 70% off for six months. Automated bank feeds are listed on all four plans.

Suits: businesses that want a paid plan with bank feeds from the entry tier and are comfortable with a subscription after the discount ends.

MYOB

MYOB's Australian pricing page shows no free plan. It offers a 14-day free trial on its Pro and AccountRight Plus plans, with introductory discounts across its range.

Suits: businesses that want to try a paid plan for two weeks before committing, and who are fine paying full price once the introductory discount ends.

Reckon One

Reckon's Australian page offers a 30-day free trial of Reckon One, after which a paid subscription applies. There's no free-forever plan. The page describes bank feeds, payment matching and reconciliation.

Suits: businesses that want a longer trial than most before choosing a paid plan.

Zoho Books

Of the five brands we checked, Zoho Books is the only one with a free-forever plan on its Australian pricing page. It's for businesses with revenue under A$50K a year, and allows one user plus one accountant. The Free plan includes importing bank and credit card statements and bank reconciliation. Automatic bank feeds through a feeds provider are listed on the paid Standard plan, shown at A$16.50 a month billed annually, inclusive of GST.

Suits: very small businesses under the revenue cap who are happy to import statements rather than use a live feed.

HelloBooks Free

HelloBooks Australia has a Free plan at A$0, with no card needed and no expiry. It's not a trial. Here's what's in it, and the limit you need to know about.

  • AP and AR ageing, P&L, balance sheet and cash flow reports

  • a "Powered by HelloBooks" badge on invoices

The honest limit: 200 transactions a year is roughly 16 a month. That's plenty for a side business, a sole trader with a few regular clients, or a holding entity with a handful of transactions. It's not enough for a café or a busy tradie. If you're above it, Pro is A$30 a month (A$300 a year) and adds AI auto-categorisation, unlimited bank connections, unlimited users and roles, recurring invoices, multi-currency and more.

Suits: low-volume businesses that want a live bank feed and proper reconciliation without paying anything, and who want the option to step up later without moving software.

The questions that matter more than the price tag

Whatever you're comparing, these questions decide whether a free option works for you.

  1. Is there a live bank feed, or only statement import? Import works fine, but it's a monthly chore. A feed brings transactions in every day.
  2. How many accounts can you connect? One feed covers a single business account. If you have a credit card and a savings account too, check what happens to those.
  3. Is there a transaction, invoice or revenue cap? Work out your real annual volume before you sign up. Count a month of bank lines and multiply by 12.
  4. Who else can log in? Your bookkeeper or BAS agent needs access. Check whether an accountant seat counts against your user limit.
  5. Can you get a proper reconciliation report out? You want opening balance, cleared items, outstanding items and closing balance, in a format you can save.
  6. What happens if you outgrow it? Moving to a paid plan in the same software is far easier than migrating to a new product.
  7. Is the free plan permanent? A trial with a long length is still a trial.

What about just using a spreadsheet?

A spreadsheet costs nothing and works for a very small number of transactions. You download the statement, paste it next to your cash book and tick things off. Plenty of sole traders start this way.

The trade-offs are real, though. There's no matching help, no lock on past months, no link to your invoices, and every formula is one bad paste away from breaking. Once you're past a few dozen transactions a month, the time it takes usually costs more than a paid plan would.
