Accounting software for Dubai businesses that runs on an AI agent

Dubai packs mainland trading companies, free zone consultancies, restaurants on Sheikh Zayed Road and Deira wholesalers into one city, and each keeps a different set of books. HelloBooks gives all of them one AED ledger with an AI agent that reads bills, drafts invoices and matches bank lines, while the owner or accountant reviews what goes to the FTA. Here is how it fits the way Dubai companies actually work.

One ledger for mainland and free zone entities

Plenty of Dubai founders hold two licences: a mainland LLC that sells to local customers and a free zone company that invoices overseas clients or other free zone firms. The two have separate trade licences, separate bank accounts and often separate tax positions. Keeping them in one spreadsheet is where most year-end clean-ups start.

In HelloBooks each licence is its own entity with its own chart of accounts, TRN and invoice template. On the Business plan you switch between entities from one login and run consolidated reports when the owner wants a group view. Intercompany recharges are posted as journals in both books so the balances agree.

  • Separate entities for a mainland LLC and a free zone FZCO or FZE
  • Each entity carries its own TRN on its tax invoices
  • Group P&L across entities for the owner, with entity-level detail for the accountant

A Dubai trading company, worked through

Take a Deira electronics wholesaler that sells AED 2.4 million a year to mainland retailers and exports AED 900,000 to buyers in Oman and Kenya. Local sales carry 5% VAT, so output tax on the mainland side is AED 120,000 for the year. The export invoices are zero-rated when the export evidence is kept, so they show on the return with no VAT due.

The AI agent reads each supplier bill, including Arabic-language invoices from local distributors, and suggests the VAT treatment line by line. When the quarter closes, HelloBooks prepares the VAT 201 figures from the ledger. The accountant checks the zero-rated exports against shipping documents and then files on EmaraTax.

Corporate tax for a Dubai company

Corporate tax applies at 0% on taxable income up to AED 375,000 and 9% above it. A Dubai consultancy with taxable income of AED 520,000 would owe 9% on AED 145,000, which is AED 13,050. A resident business with revenue of AED 3 million or less may be able to elect small business relief instead, a relief the Ministry has extended to tax periods ending on or before 31 December 2029.

HelloBooks computes these figures from the same ledger that produced the VAT return, so adjustments such as non-deductible entertainment or depreciation differences are made once. A qualified tax agent or the owner confirms the elections and files the return.

What the AI agent handles day to day

Dubai bookkeeping is heavy on receipts: taxi rides, fuel, client lunches, parking fines, supplier bills in two languages. Snap a receipt on the mobile app or forward it by email and the agent extracts the supplier, TRN, date, amount and VAT. Upload a monthly statement from Emirates NBD, ADCB, FAB or any other bank as PDF, CSV or Excel and it matches each line to an invoice or bill.

Ask it in plain English: "Which Dubai customers are more than 60 days overdue?" or "How much VAT did we pay on rent this quarter?" It answers from the ledger and shows the transactions behind the number. Need a different chart of accounts, a custom invoice layout or approval rules for purchases above a set amount? Book a call at /book-a-demo or email hello@hellobooks.ai and the team will set it up with you.

FAQ

Frequently asked questions

Does HelloBooks connect live to Dubai bank accounts?
No. There are no live feeds for UAE banks. You upload statements as PDF, CSV or Excel files and the AI matches each line to invoices, bills and transfers for you to confirm.
Can I keep my mainland and free zone companies separate?
Yes. Each licence is a separate entity with its own ledger, TRN and reports. The Business plan adds multi-entity management, so one login can switch between companies and run a group view.
Will HelloBooks file my VAT return with the FTA?
No. HelloBooks prepares the VAT 201 figures from your ledger. You or your accountant review them and file on EmaraTax yourselves.
When do Dubai businesses need to register for VAT?
Registration is mandatory once taxable supplies pass AED 375,000 over the past twelve months, or are expected to in the next thirty days. Voluntary registration opens at AED 187,500. Check your position with the FTA before registering.
