Accounting software for Sharjah businesses that move stock

Sharjah is where a lot of the UAE makes and stores things. Its industrial areas are full of workshops, spare-parts traders, furniture makers and food processors, and its free zones host light manufacturers and media start-ups. These businesses live on stock, supplier credit and thin margins. HelloBooks tracks all three, with an AI agent reading the paperwork and an owner who still signs off on the numbers.

Stock, suppliers and supplier credit

A spare-parts trader in Industrial Area 6 might hold 4,000 part numbers across two warehouses and buy on 60-day credit from importers in Dubai. Getting the cost of goods right matters more than anything else in that business. HelloBooks keeps item-level stock with quantities and values, and the Business plan adds multi-warehouse and lot or batch tracking.

Supplier statements arrive as PDFs. Forward one and the agent compares it to the bills in your ledger, flags invoices the supplier shows that you have not booked, and lists payments they have not yet allocated. You decide what to post.

A Sharjah workshop VAT quarter

Consider a joinery workshop with quarterly sales of AED 640,000 to fit-out contractors and purchases of AED 380,000 in timber, hardware and machine servicing. Output VAT is AED 32,000. If all the purchases carry recoverable VAT, input tax is AED 19,000 and the net payable for the quarter is AED 13,000.

The agent reads each supplier invoice, including those printed only in Arabic, and posts the VAT to the right box. Bills with a missing or invalid-looking TRN are flagged rather than posted, because input tax on them may not be recoverable. The owner reviews the draft VAT 201 and the accountant files it on EmaraTax.

Getting paid on time

Trade credit stretches in Sharjah. HelloBooks keeps an AR ageing report by customer, and sends payment reminders by email or WhatsApp on a schedule you set. Ask the agent "who owes us more than AED 20,000 and is past 90 days?" and you get a list you can call through before the month ends.

Sharjah free zone businesses at SAIF Zone, Hamriyah Free Zone or Shams use the same ledger, with their own entity and TRN where they hold one. If you want reminder wording in your own style, a parts catalogue chart of accounts or custom invoice layouts with Arabic and English text, book a call at /book-a-demo or email hello@hellobooks.ai.

FAQ

Frequently asked questions

Does HelloBooks read Arabic supplier invoices?
Yes. The OCR reads Arabic and English bills and receipts and extracts the supplier, TRN, date, amounts and VAT. The app interface itself is in English.
Can I track stock in two Sharjah warehouses?
Yes, on the Business plan. Multi-warehouse inventory lets you see quantities and values per location, and lot or batch tracking is available for goods that need it.
Is landed cost on imported stock allocated automatically?
No. Freight, duty and clearing charges are not spread across items automatically. Many traders post them to a separate cost account or adjust item costs with a journal, and your accountant can set the method.
Do Sharjah businesses file VAT differently from other emirates?
No. VAT is federal. Every registered business files the same VAT 201 return with the FTA on EmaraTax, whichever emirate issued its licence.
