How to keep rental income records in the UAE, from cheques to VAT

UAE rents are still often paid by post-dated cheques: one, four or twelve per year, handed over at signing. That habit makes rental bookkeeping different from other businesses. Income arrives in lumps, deposits sit in the account, cheques bounce, and residential and commercial units follow different VAT rules. Whether you own three apartments through a company or a building of shops, here is how to keep records an auditor, a bank or the FTA can follow.

Who needs to keep these records

A company or licensed business that owns property keeps full books like any other business. Individuals who hold property personally, outside a licence, are in a different position for corporate tax, and should ask a tax agent where their activity falls, especially with many units. Whichever applies, the records described here are what you would need to answer any question about the income.

Record rent as earned, not as cheques arrive

A tenant who hands over four cheques of AED 30,000 for a AED 120,000 annual lease has not paid you AED 120,000 on day one. Record the lease, then recognise AED 10,000 of rental income each month. Cheques you hold but have not deposited are not cash; track them in a post-dated cheque register with dates, amounts, bank and cheque numbers.

When a cheque clears, it reduces what the tenant owes. When one bounces, record it immediately, reverse the receipt and note any bank charges, so your tenant balance reflects reality.

VAT: residential and commercial differ

The Ministry of Finance says supplies of residential property are generally exempt from VAT. Leasing a flat to a family is normally exempt, so no VAT is charged and related input VAT is generally not recoverable. The first supply of a newly built residential property within three years of construction is zero-rated, per the Ministry.

Commercial property, such as offices, shops and warehouses, is standard-rated at 5%. A landlord whose taxable commercial rent passes AED 375,000 a year must register for VAT. Worked example: an owner with four shops at AED 110,000 each has AED 440,000 of taxable supplies and must register; the same owner with four apartments at the same rents generally has exempt supplies only. An owner with both needs to apportion input VAT on shared costs.

Deposits and service charges

A security deposit is not income. Hold it as a liability to the tenant, ideally tracked unit by unit, and release it against damages or refund it at the end of the lease. Mixing deposits into rental income overstates profit and causes disputes at move-out.

Service charges paid to the owners’ association are a property cost. If you recharge them to commercial tenants, the recharge usually follows the VAT treatment of the lease; check the lease wording and your tax agent’s view.

Expenses to track by unit

Track costs per unit so each property’s return is visible.

  • Service charges and chiller or district cooling fees.
  • Maintenance and repairs, with contractor invoices.
  • Agency fees for letting and management.
  • Insurance, finance costs on property loans, and registration fees.
  • Vacancy periods, so you can see real yield.

How long to keep the records

Real estate records have a longer retention period than most. The Ministry of Finance e-invoicing guidelines, citing Cabinet Decision No. 74 of 2023, set seven years after the end of the calendar year of creation for real estate records, against five years for most other records. For corporate tax, records are kept for seven years after the tax period. Keep leases, PDC registers, VAT invoices and maintenance bills for at least that long.

How HelloBooks supports landlords

HelloBooks sets up recurring rent invoices per unit with the right VAT treatment, exempt for residential and 5% for commercial, and tracks each tenant’s balance. Upload your bank statement and the AI agent matches cleared cheques to the right tenant; ask “which cheques bounced this year, and who still owes rent?” for a plain answer. Use classes or projects to see income and costs per building.

HelloBooks does not keep a cheque scanning register automatically; record PDCs as a list or attach copies to the tenant record. For a landlord report by unit, request a customization at /book-a-demo.

FAQ

Frequently asked questions

Do I charge VAT on residential rent?
Generally no. The Ministry of Finance says residential property supplies are generally exempt. Commercial rent is standard-rated.
Is a security deposit taxable?
A refundable deposit is not payment for a supply while it is held as security. If you keep it for damages or unpaid rent, ask your tax agent about the treatment.
How do I record a bounced rent cheque?
Reverse the receipt, restore the tenant’s balance, record any bank charge, and keep the bank’s return advice with the tenant record.
