How to enter opening balances for a new UAE company, line by line

Opening balances are the first entry in a new set of books and the one most often got wrong. For a brand-new company, they record what the founders put in and what was spent before trading began. For a company moving from spreadsheets or another system, they carry the old position into the new ledger. Either way, a mistake here repeats in every report that follows. This guide walks through each line with AED figures.

Two situations, one principle

A newly licensed company starts with a near-empty balance sheet: share capital, perhaps a founder loan, the bank balance and any deposits or setup costs. A company migrating from another system starts with a full trial balance at a cut-off date, including receivables, payables, stock, fixed assets and VAT balances.

The principle is the same in both cases. Pick a single cut-off date, ideally the first day of a month and of a VAT period. Every balance is stated as at the close of the previous day. Debits must equal credits. If they do not, do not post a balancing figure to a suspense account and forget it; find the gap.

Worked example: a new Dubai mainland LLC

Two partners form a marketing agency. Their memorandum states share capital of AED 100,000, which they deposit in the company bank account. Before the account opened, one partner paid AED 22,000 of licence and setup fees and a AED 15,000 office deposit from her own funds. On the cut-off date, the bank shows AED 100,000.

  • Bank: debit AED 100,000.
  • Office deposit (asset): debit AED 15,000.
  • Licence and setup costs (expense or pre-operating cost, per your auditor’s policy): debit AED 22,000.
  • Share capital: credit AED 100,000.
  • Partner loan account: credit AED 37,000.

Worked example: moving from spreadsheets mid-year

A Sharjah trading company moves to new software on 1 April. Its trial balance at 31 March shows AED 412,000 of receivables across 38 customers, AED 268,000 of payables across 21 suppliers, stock of AED 530,000, and net VAT payable of AED 18,400 for the quarter just ended.

Receivables and payables should go in as individual open invoices and bills, not as one lump, so that ageing reports and payment matching work from day one. Stock goes in by item and location at cost. The VAT payable sits as a liability until the return for January to March is filed and paid, and should be cleared against that payment, not against new-period VAT.

The lines people forget

These items are easy to miss because they do not show up in the bank.

  • Prepaid rent: a year paid in advance in February is mostly an asset at 1 April.
  • Accrued expenses: utilities and consultants for March not yet billed.
  • Employee end-of-service provision, if the company already carries one in its old books.
  • Fixed assets at cost and accumulated depreciation separately, not as a single net figure.
  • Customer advances received but not yet earned.

Checking the result

After posting, run a balance sheet at the cut-off date and compare it line by line with the old trial balance or your opening calculation. Then run receivable and payable ageing and check that the totals match the control accounts. A difference of even AED 50 is worth tracing now; it will be harder to find in six months.

Ask your accountant to sign off the opening balances before you post any new-period transactions. Many firms lock the opening period once agreed.

How HelloBooks helps with opening balances

HelloBooks imports open customer invoices, supplier bills and item quantities from spreadsheets, so balances arrive with their detail. The AI agent checks that the imported subledgers agree to the trial balance and lists any differences in plain English, such as “three supplier bills totalling AED 4,350 are in the ageing but not in your payables total”.

You or your accountant approve the opening entry and lock the period. If you need the import set up around a particular old system’s export, the team can help; book at /book-a-demo.

FAQ

Frequently asked questions

Should share capital appear in opening balances if it has not been paid in?
Record what the legal documents and bank show. Unpaid capital is usually shown as a receivable from shareholders or disclosed, depending on your auditor’s view. Ask before posting.
Can I enter one total for receivables?
You can, but you lose ageing, reminders and payment matching for the old invoices. Enter each open invoice instead.
What cut-off date should I use?
The first day of a month that is also the first day of a VAT period, if you are registered. It keeps returns clean and avoids splitting a period across two systems.
