The first month after UAE e-invoicing go-live: a week-by-week guide

Go-live day is quieter than most teams expect. The first invoices go out, a few come back with errors, and the provider dashboard fills with confirmations. The harder work comes later in the month, when inbound supplier invoices arrive in a new format, credit notes pile up and month-end needs the ledger to match what the provider reported. Here is a week-by-week view of what to watch.

Week 1: watch the rejections, every day

Set a fixed time each day, say 10am, to review what was sent and what was rejected. Most first-week rejections trace back to data: a customer’s TRN typed with a space, a missing buyer electronic address, an item with no tax category. Fix the master record, not just the invoice, or the same error returns tomorrow.

Keep a simple log with the invoice number, the reason and the fix. By Friday you will see a pattern. A Dubai wholesaler might find that 18 of 22 rejections in week one came from four customers whose records were created before the clean-up. Fixing those four records removes most of the problem.

Week 2: credit notes and corrections

Old habits resurface in week two. Someone notices an error on a sent invoice and asks whether it can just be edited. It cannot. A reduction goes through an electronic credit note; an increase through an additional invoice. Each credit note needs the original invoice reference and a reason.

Remind the team that every invoice or credit note not issued and transmitted on time can carry its own fine under the e-invoicing penalties decision. A backlog of unissued credit notes is a real cost, not just untidiness.

Week 3: the inbound side

Your provider also receives invoices from suppliers who are live. Those arrive as structured data with confirmations, and somebody has to get them into the books, match them to purchase orders and approve them for payment. Decide who owns this inbox before week three, not during it.

Suppliers on later dates will still send PDFs. For a while your accounts payable team will handle two kinds of bill: structured invoices through the provider and PDFs by email. Both still need the same approval and coding.

Week 4: month-end tie-out

Before you close the month, compare three numbers: sales and output VAT in the ledger, the same totals in the provider’s records, and the documents your customers confirmed. They should agree. Differences usually come from invoices rejected and reissued under a new number, or credit notes recorded in the ledger but not yet transmitted.

Worked example: a Ras Al Khaimah manufacturer’s ledger shows January sales of AED 4,280,000 net with AED 214,000 output VAT. The provider shows AED 4,262,000 net. The AED 18,000 gap is one invoice rejected on 30 January and reissued on 2 February. The ledger entry was dated 30 January, so the fix is to reverse it and post the reissued invoice in February.

The first VAT return after go-live

Your VAT return is still prepared from your books and filed on EmaraTax as before. E-invoicing gives the FTA much more visibility of each transaction, so any difference between your return and the data your provider reported will stand out. Do the tie-out above for every month of the return period before you file.

  • Reconcile ledger sales and output VAT to provider records for each month.
  • Check every credit note in the period was transmitted.
  • Confirm input VAT on structured supplier invoices matches the ledger.
  • Keep the reconciliation with the return working papers.

How HelloBooks helps in month one

HelloBooks keeps the ledger side of the tie-out tidy. Ask the AI agent “total sales and output VAT for January by customer” and compare it with your provider export. It flags credit notes with no original invoice reference and supplier bills captured twice from different channels. Your VAT 201 is prepared from the same ledger for you or your accountant to review and file on EmaraTax.

HelloBooks is not your provider and does not receive or send e-invoices itself. If you want a reconciliation report shaped to your provider’s export, request it through hello@hellobooks.ai.

FAQ

Frequently asked questions

Do we still need to tell the FTA about a provider outage?
Ministerial Decision No. 197 of 2026 repealed the requirement to notify the FTA of a system failure within two business days. Follow your provider’s instructions for sending delayed invoices once service resumes.
Can we reissue a rejected invoice with the same number?
Ask your provider how it handles rejected documents, since practice may differ for invoices that never reached the buyer. Keep your ledger date and number aligned with what was finally accepted.
Does e-invoicing replace the VAT return?
No. You still file VAT returns on EmaraTax. E-invoicing adds near-real-time reporting of transaction data alongside it.
