Open credit notes, one tap to apply
When a customer walks back in, their open credit notes are already loaded. Pick one or more, and they apply against the new sale automatically — no manual journal, no “go to back office” detour.
Part of HelloBooks POS · Tender modes
A credit note is a payable instrument the customer already holds. It should retire as easily as cash. HelloBooks lists every open CN at the tender step, validates against the available balance, and posts a clean SCN-application journal.
Every detail, dialled in
Built for the till, validated against the canonical accounting engine — so every POS sale closes the books cleanly.
Auto-loaded for the customer
Identify the customer at the till by phone, loyalty card, or scan of a previous receipt and every open credit note shows up in the tender drawer with available balance and originating bill reference.
- Phone or loyalty-card lookup
- Shows available balance per CN
- References the original sales bill
- Newest CNs surface first
Partial application supported
A 5,000 INR CN can pay 2,300 INR of a new bill; the remainder stays for next time. Multi-CN partials work too — apply 1,200 from one and 1,100 from another against a single sale.
- Partial apply per CN
- Multi-CN per bill
- Audit trail per application
- Reverses cleanly on bill-cancel
Books-grade posting
The CN application posts through the canonical applySalesCreditNote pipeline — same as the back office. The customer ledger, the tax adjustments, and the AR balance all update in one transaction.
- Same RPC as back-office
- Customer ledger updated atomically
- Tax adjustments preserved
- Reversible if the bill is voided
Why teams move off legacy tills
- Cashier types CN amount manually
- No validation against actual balance
- No multi-CN support
- Application posts as a generic discount
- CNs auto-loaded for the customer
- Validated against canonical balance
- Multi-CN per bill supported
- Posts as a real CN application
Questions, answered
How does the till know which CNs to load?
On customer lookup we pull every open SCN for that customer ID across all outlets. The tender drawer shows them with available balance and the originating bill.
Can I apply a CN issued at outlet A to a bill at outlet B?
Yes — credit notes are entity-scoped, not outlet-scoped. The customer can redeem at any branch (subject to your cross-outlet returns toggle).
What if the CN is older than 12 months and we have an expiry policy?
Expired credit notes do not appear in the tender drawer. Expiry is configured on the credit-note module in the back office.
Is the application reversible if the bill is cancelled?
Yes. Bill-cancel triggers the canonical reverse-application; the credit note returns to its prior balance.
