CUSTOMER ADVANCE

Apply advance balance to any POS sale

Advances paid against future orders, deposits, or top-ups all show up as available balance at the till. Apply in part or in full — the canonical advance pipeline retires the schedule cleanly.

Customer advance balance applied at the POS settle screen

Walk-in customers regularly leave deposits — for a tailored shirt, a custom cake, a jewellery order. Most POS systems track that deposit in a notebook. HelloBooks tracks it as a real customer advance with a schedule, and lets the till retire it line-by-line.

HOW IT WORKS

Every detail, dialled in

Built for the till, validated against the canonical accounting engine — so every POS sale closes the books cleanly.

🏦

Live advance balance

The till shows the open advance balance the moment the customer is identified. Apply any portion to the current bill; the remainder stays available for next time.

  • Real-time balance per customer
  • Multi-advance per bill
  • Validates against the canonical schedule
  • Records the originating advance reference
🔁

Recurring application

For customers paying advances against subscription-style orders (monthly grocery, regular tailor visits), advances can auto-apply through the recurring linkage. The till simply confirms.

  • Recurring apply via existing linkage
  • Optional manual override
  • Audit trail per cycle
  • Stops when the schedule is exhausted
📒

Schedule-aware posting

Application posts through applyCustomerAdvance — the same pipeline used by recurring invoices and back-office bills. Schedule, customer ledger, and deferred-revenue all reconcile.

  • Same RPC as back-office
  • Schedule line marked applied
  • Deferred-revenue retired
  • Reversible on bill-cancel

Why teams move off legacy tills

Old POS · Manual workarounds
  • Advances tracked in a notebook
  • No till-level visibility
  • Manual journal at month-end
  • No way to enforce the schedule
HelloBooks POS
  • Advance balance live at the till
  • Multi-advance and partial supported
  • Posts through the canonical schedule
  • Reversible on bill-cancel
FAQ

Questions, answered

Where does the advance originate from?

Either the back office (manual entry, recurring template) or the till itself if the cashier records a fresh deposit. Both flow into the same Customer Advance module.

Can advances be partially applied?

Yes — apply any amount up to the available balance. The remainder stays open for the next visit.

How does this differ from store credit?

An advance is paid in real cash up front against future delivery — it carries deferred revenue. Store credit is issued from a return — it is a refund liability. The till treats them as separate tenders, and the books treat them as separate accounts.

Is the application reversible?

Yes. Bill-cancel reverses the apply through the canonical reverse pipeline; the advance balance restores.
