Part of HelloBooks POS · Operations
Letting cash pile up in the till is a security and liability risk. HelloBooks gives cashiers a fast drop / pickup flow that keeps the till lean, posts the move to the right account, and shows up on the shift Z-report.
Every detail, dialled in
Built for the till, validated against the canonical accounting engine — so every POS sale closes the books cleanly.
Drop to safe / bank
A drop is a movement from the cash drawer to the safe (or directly to a bank deposit). The amount, the receiving account, and the witness manager all go on the audit trail.
- Drawer → safe / bank
- Witness manager required
- Per-denomination optional
- Posts a bank transaction
Pickup for float
Need to top up the till mid-shift? A pickup brings cash from the safe into the drawer. Same audit treatment, same journal posting, same Z-report visibility.
- Safe → drawer top-up
- Manager-approved
- Per-cashier pickup history
- Visible on Z-report
Reconciliation guaranteed
The shift Z-report subtracts drops and adds pickups before computing variance. So a drop never looks like a shortage; a pickup never looks like a surplus.
- Drops subtracted from expected cash
- Pickups added
- Variance is true variance
- Per-shift roll-up
Why teams move off legacy tills
- Drops noted on a sticky
- Pickups untracked
- Variance distorted
- Bank rec confused
- Drops audited with witness
- Pickups in the audit trail
- Z-report subtracts/adds correctly
- Bank rec clean
Questions, answered
Who can authorise a cash drop?
Cashier initiates; manager witnesses (passcode). Larger thresholds can require dual authorisation.
Does a drop post to the books immediately?
Yes. A bank transaction (cash → safe / bank deposit) is created the moment the drop completes.
What if the safe has its own ledger?
Yes — different outlets can route drops to a Safe-on-Premises GL or directly to the bank deposit GL. Configurable per outlet.
How does this connect to bank rec?
A drop to the bank account creates a deposit-style transaction that matches against the bank statement line in the next reconciliation.
