AIS reconciliation: match your Annual Information Statement to your books

Every taxpayer filing an Indian income-tax return needs to reconcile their AIS. HelloBooks ingests the AIS JSON or PDF directly from the IT e-filing portal, categorises all TDS and income entries, and matches them against your ledger — so the scramble of manually cross-referencing PDFs and spreadsheets is gone.

What AIS covers — and why it matters for your ITR

The Annual Information Statement pulls together everything the Income Tax Department knows about your income for the year — from TDS deductions to mutual fund redemptions to business receipts reported by payment aggregators. If your ITR doesn't match AIS, the e-filing portal flags discrepancies and may trigger a scrutiny notice.

How HelloBooks does this

HelloBooks treats AIS entries as a derived reconciliation view — not a manual data-entry exercise. Upload the JSON once, and HelloBooks matches entries against your ledger automatically. You only touch the exceptions.

  1. 1

Download the AIS JSON from the IT e-filing portal

Log in to incometax.gov.in → AIS / TIS → AIS → Download → JSON (not PDF if you can avoid it). The JSON file contains all income and TDS entries for the selected financial year in a structured format.

  2. 2

    Upload to HelloBooks

In HelloBooks, go to TDS → AIS Reconciliation. Select the financial year. Enter the entity's PAN. Click 'Import JSON' and paste or upload the file. The system parses all entries in seconds.

  3. 3

    Review the category summary

HelloBooks groups entries by category: Salary, FD Interest, Savings Interest, Dividend, Securities, Mutual Fund, Foreign Remittance, Rent, Business Receipts, and Other. Each group shows total income, tax deducted, number of entries, and how many are unmatched.

  4. 4

    Work through unmatched entries

Click any category to filter the entries list. Unmatched entries appear at the top. For each one: Accept if the income and TDS are correctly reported but you haven't recorded it yet (and update your books accordingly), Dispute if the amount is wrong (flag for deductor follow-up), or link to an existing ledger entry to mark it Matched.

  5. 5

    Resolve timing-lag TDS entries

TDS entries from Q4 of the prior FY often land in the AIS after March. These show as Unmatched in the current-FY AIS but have a ledger counterpart in the previous year. Use the fiscal-year carry-forward note to mark these correctly without creating duplicate journal entries.

  6. 6

    Export the reconciliation report

Once all entries are marked, export the AIS reconciliation summary. The report maps to ITR Schedule TDS-1, TDS-2, and the relevant Part-B/C income schedules. Share it with your CA or attach it to your tax-filing workpapers.

Common AIS mismatch types and how to handle them

Timing lag (deductor filed late)
Q4 TDS from March often appears in AIS only after May or June, a quarter after the actual deduction. Accept the entry in HelloBooks and note the carry-forward. Don't create a duplicate journal entry — the corresponding book entry already exists in Q4.
Amount difference (gross vs net reporting)
Some deductors report the gross invoice amount as the 'income' figure in AIS, while your books carry the net (after GST, after deductions). Typically a tolerance of ₹100 covers rounding; larger differences should be disputed with a reconciliation note.
Missing book entry
Income received and TDS deducted, but no matching entry in the ledger. This is the most common cause of ITR mismatches. Accept the AIS entry and raise a journal entry to record the income and TDS receivable in the correct period.
Duplicate reporting by aggregator
Payment aggregators sometimes report both the gross receipt and the net settlement as separate AIS entries. Identify the duplicate using amount and date, dispute the smaller entry, and Accept the correct gross entry.
Wrong PAN / deductor error
Occasionally a deductor files TRACES returns with a typo in your PAN. The entry appears in AIS but won't match any ledger entry. Dispute it with a note and follow up with the deductor to file a TRACES correction.

Frequently asked questions

What is AIS (Annual Information Statement)?

The Annual Information Statement is a comprehensive view of all financial transactions reportable under Indian income-tax law for a given PAN. It was introduced in FY2021-22 and replaced the older Form 26AS for income-tax purposes. AIS covers TDS deductions, TCS collections, interest from FDs and savings accounts, dividend income, mutual fund redemptions, securities transactions, foreign remittances, rent receipts, and business receipts. It is available to download from the IT e-filing portal (incometax.gov.in) under the AIS/TIS section.

What is the difference between AIS and Form 26AS?

Form 26AS shows TDS/TCS transactions, advance tax, and self-assessment tax payments. AIS is a superset — it includes everything in 26AS plus investment and income events not captured by TDS (capital gains, foreign remittances, rent, business receipts reported by aggregators). For income-tax return filing from FY2024-25 onwards, AIS is the primary reconciliation document. Form 26AS is still available but AIS is more complete.

Why does AIS show different figures than my books?

Mismatches are common for several reasons: (1) Timing lag — a deductor files TDS returns late, so the deduction appears in AIS a quarter after it was made. (2) Amount difference — the deductor reports the gross amount but your book entry is the net. (3) Missing entry — the income was received but not recorded in the accounting system. (4) Duplicate reporting — some payment aggregators report the same transaction under multiple categories. HelloBooks AIS reconciliation flags each mismatch type separately so you can accept, dispute, or escalate each item.

What formats can I upload for AIS reconciliation?

HelloBooks accepts both the AIS JSON (preferred) and the AIS PDF. The JSON is available from the IT e-filing portal under 'AIS' → 'Download' → 'JSON'. It preserves machine-readable structure so HelloBooks can parse all 20+ transaction categories without OCR. The PDF upload uses text extraction and is a fallback for users whose portal shows only the PDF option. Both are available from FY2023-24 onwards.

How does HelloBooks match AIS entries to my books?

For TDS entries, HelloBooks matches by deductor TAN, approximate amount (±₹100 tolerance), and financial year. For business receipts and dividend entries, matching is by PAN of the reporting entity and amount. Salary entries match to the payroll ledger. FD and savings interest match to bank-linked interest income accounts. Unmatched entries are flagged for manual review. You can Accept (mark as reconciled), Dispute (flag for follow-up with the deductor), or link to the matching ledger entry.

When should I use AIS reconciliation vs 26AS reconciliation?

Use AIS reconciliation when preparing the income-tax return (ITR). AIS covers all reportable income, not just TDS. Use the Form 26AS tab for quarterly TDS compliance work — matching challan payments, verifying ITNS-281 deposits, and generating Form 16A/16. Both views are available in HelloBooks under the TDS module; the AIS tab is the ITR-facing reconciliation surface.

Can I dispute an AIS entry from within HelloBooks?

Yes. You can mark any AIS entry as 'Disputed' with a reason note. The dispute is recorded in HelloBooks for your internal audit trail. To formally dispute with the Income Tax Department, you need to go to the IT e-filing portal and submit the feedback via the AIS Feedback mechanism (available under AIS → Submit Feedback). HelloBooks exports a dispute summary you can reference when submitting portal feedback.

Who needs to do AIS reconciliation?

Any taxpayer filing an income-tax return — individual, HUF, firm, LLP, or company. It is especially important for: (1) Businesses with multiple TDS deductors (professional service firms, staffing agencies, contractors), (2) Entities receiving significant investment income (interest, dividends, mutual fund redemptions), (3) High-turnover businesses whose payment aggregators report receipts under business receipts category, and (4) CA practices filing returns for multiple clients.
