Sage 50 vs HelloBooks in Ireland: desktop depth or AI in the cloud

Sage 50 Accounts is still installed in thousands of Irish businesses and practices. It is deep, familiar and built around a company file on a computer or server. HelloBooks is a cloud product where AI codes the transactions and the books are live for owner and accountant at once. This page helps you judge whether your business needs Sage 50’s depth or would be better served by automation.

When Sage 50 is still the right tool

Sage 50 earns its place in businesses with real stock: wholesalers tracking batches, manufacturers with bills of materials, and groups running several companies with consolidated reporting. If you rely on those features daily, a lighter cloud product will feel thin and you should stay put or look at mid-market software.

When HelloBooks is the better fit

Most small Irish businesses on Sage 50 use a fraction of it: sales invoices, supplier bills, bank reconciliation and the VAT return. For them the cost is the time spent keying transactions and passing backup files to the accountant before each deadline.

HelloBooks removes both. Bank lines, receipts and bills are read and coded by AI for a person to confirm, and the accountant opens the same live ledger from their own login. VAT3 figures are ready at period end without exporting anything.

Cost beyond the subscription

Desktop accounts carry hidden costs: a computer or server to run on, backups, upgrades, and the time spent sending files back and forth. Sage 50’s document capture is also metered beyond the plan allowance. When you compare, count the hours each month as well as the licence.

Moving from Sage 50

Take a trial balance from Sage 50 at the end of a VAT period, along with aged debtors and creditors. Load these into HelloBooks through the CSV templates, then run the next period in HelloBooks while keeping Sage 50 as a read-only archive for history. Keep the Sage 50 data readable for as long as Revenue requires you to retain records.

Practices moving many clients at once should read the Sage 50 migration playbook on the Ireland blog, which covers segmenting clients and timing each move.

Questions to ask before you decide

If the honest answer to the first question is no, a cloud product with AI bookkeeping will usually save more than it costs.

  • Do we use stock, projects or multi-company features every week?
  • How many hours a month go on data entry?
  • How do we get the books to our accountant today, and how long does that take?
  • Who needs access, and from where?
FAQ

Frequently asked questions

Can HelloBooks import a Sage 50 company file?
Not the file itself. Opening balances, contacts and open items come across through CSV exports from Sage 50 and HelloBooks’ import templates.
Does HelloBooks handle stock?
It records stock purchases and sales in the ledger, but it is not an inventory management system. Businesses with complex stock should keep a dedicated tool.
Is Sage 50 being discontinued in Ireland?
Sage still sells Sage 50 Accounts in Ireland according to its own pricing page. Check with Sage for its plans for the product.
