AI Accounting Software in Ireland: What It Does | HelloBooks What AI accounting software can do for an Irish business today, what it still cannot, and the questions to ask any vendor about accuracy, review and Irish VAT.

AI accounting software in Ireland: what it can and cannot do

AI has moved from a buzzword to a working part of accounting software. In Ireland it can already code transactions with an account and VAT rate, read bills and receipts, reconcile bank activity and draft the month-end close. It cannot take responsibility for your return, judge an unusual transaction it has never seen, or file with Revenue on its own.

Three kinds of “AI” on the market

Vendors use the word for very different things, so ask which one you are buying.

  • Assistants that answer questions about your data in plain English, without changing it.
  • Document capture that reads receipts and bills into fields.
  • Agents that do the bookkeeping: propose postings, reconcile, and prepare figures for a person to approve.

What AI does well in Irish bookkeeping

Pattern-heavy work suits it, and most of a small business’s transactions are patterns: the same suppliers, the same customers and the same subscriptions month after month. That is exactly the work that used to take an evening at the end of every month. A regular supplier, a monthly subscription or a known customer payment can be coded, matched and reconciled with little help. Irish VAT has several rates, 23%, 13.5%, 9% and 4.8%, and a system that learns which rate each supplier’s items carry removes a common source of errors.

Where a person still matters

Unusual transactions, mixed-rate supplies, reverse-charge construction work and anything involving judgement still need a human. So does the final check of the VAT return. Choose software that shows you why it proposed a posting and never posts without confirmation. When comparing costs, include the time you spend correcting the AI, not just the subscription: a cheaper tool that needs more fixing is not cheaper.

Questions to ask any AI vendor

Five questions cut through the marketing.

  • Does anything post to my ledger without my confirmation?
  • Can I see why the AI chose an account or VAT rate?
  • Is the accuracy figure audited or an internal benchmark?
  • Where is my data processed, and is it used to train models?
  • What happens to my books if the AI gets it wrong?

A realistic first month with AI bookkeeping

Expect to correct more in the first few weeks. The system is learning your suppliers, your categories and which VAT rate applies to which items. By the second or third month, routine transactions should need only a glance, and your review time concentrates on the handful of new or unusual items.

Keep a short list of the corrections you make in the first month. If the same correction appears again in month three, raise it with the vendor, because that is a pattern the system should have learned.

Data and privacy

Your books hold sensitive information about customers, suppliers and staff. Ask where data is stored and processed, who at the vendor can see it, whether your data trains shared models, and how you export or delete it. A vendor with an independent security attestation, such as SOC 2 Type II, has had its controls checked by an auditor.

Measuring whether it is working

Judge AI bookkeeping by outcomes you can count. Track how many transactions you had to correct each month, how long the VAT review took, and how many questions your accountant raised at year end. If those numbers fall over the first quarter, the system is earning its place. If they do not, ask the vendor why before renewing.

How HelloBooks uses AI

HelloBooks is built as an AI accountant: it proposes accounts and Irish VAT treatment, reads documents, reconciles bank activity, drafts the month-end close and computes VAT3 figures. Nothing posts until a person confirms it, and HelloBooks describes its auto-match rate as an internal benchmark, not an audited figure.

It does not file with Revenue; you enter the VAT3 in ROS. It does not run Irish payroll.

FAQ

Frequently asked questions

Will AI replace my accountant?
No. It removes data entry and first-pass coding, which frees your accountant for review, advice and the judgement calls software cannot make.
Is AI bookkeeping accurate?
It is accurate on routine transactions and improves as you correct it. Treat any accuracy figure that is not independently audited with care, and always review before filing.
Can AI file my VAT return?
Not in HelloBooks. It computes the VAT3 figures and you or your accountant enter them in ROS.
Does AI understand Irish VAT?
It learns Irish rates and how your suppliers apply them. Treat borderline items, such as mixed supplies or reverse charge, as ones to check yourself.
Is my data used to train AI models?
Ask every vendor directly and get the answer in writing. It is a reasonable question, and a good vendor will answer it plainly.
