Automated document reminders: a cadence that works

Automated reminders work when they are specific, spaced and stop the moment the file is complete. A cadence that keeps nagging after the client uploaded everything trains clients to ignore you.

Reminders stop automatically when every checklist line is received.

Make every reminder specific

A reminder that says “we are still missing documents” sends the client hunting. One that says “your 1099-DIV from {broker}” gets uploaded. Generate the reminder from the checklist status, not from a template with no data.

Escalate to a person

After two automated reminders, a call from someone at the firm usually works better than a third email. Keep the call script short: name the items, offer to help find them and confirm the deadline.

Automated voice calls are a different matter. The FCC ruled in FCC 24-17 that AI-generated voices are “artificial” under the TCPA, so such calls need the called party’s prior express consent, absent an emergency or exemption.

Where HelloBooks fits

HelloBooks Practice lists recurring tasks and engagement status tracking as live and client messaging by email, WhatsApp or SMS as in pilot. AI client calls for document chasing are coming soon; when they arrive they will need consent handled before the first call.

FAQ

Frequently asked questions

Are reminder emails covered by CAN-SPAM?
A reminder that only concerns the client’s existing engagement is likely transactional, which is exempt from most CAN-SPAM provisions. Keep promotions out of it.
How do we avoid reminding clients who already uploaded?
Drive reminders from item-level status. If every line is received, the cadence ends.
