Your 1099-INT from {bank} and your property tax statement.

Hi {first_name},

We have everything except: (1) Form 1099-INT from {bank} and (2) your {year} property tax statement.

Upload both here: {secure link}. That is all we need to finish.

Three emails, not ten

A first request with the full checklist, a follow-up listing only what is still missing, and a final notice that names the consequence, usually an extension. Each one should be shorter than the last.

  • Request: full personalised checklist
  • Follow-up: only the missing items, by name
  • Final: missing items plus the extension decision date

Never ask for documents by plain email reply

Asking clients to reply with attachments puts SSNs and account numbers in inboxes. Publication 4557 recommends encrypting sensitive files and emails; a secure upload link is the simpler way to follow that advice.

Ask for less

The shortest request is the one where the books already hold the answer. Receipts and bills captured in HelloBooks during the year, and contractor payments already totalled for 1099s, drop off the request list entirely.

FAQ

Frequently asked questions

Should the request name the specific bank or broker?
Yes. Naming the issuer, taken from last year’s return, removes the client’s guesswork and cuts follow-up.
How many reminders are too many?
See our reminder cadence guide. Most firms find a fixed schedule with an escalation point works better than frequent nudges.
