Hubdoc alternative UAE: HelloBooks vs Hubdoc for bills and receipts

Hubdoc is a document capture tool that sends bills and receipts into Xero or QuickBooks. The Xero App Store lists it as Xero’s data capture tool. HelloBooks takes a different shape: capture, posting, reconciliation and VAT 201 preparation sit in one product, run by an AI agent. This page explains when a capture add-on makes sense and when one product is simpler for a UAE business.

What Hubdoc does, by its own pages

Hubdoc’s help centre describes it as a data capture tool that reads key details such as contact, date and amount from documents and creates transactions in QuickBooks or Xero, while storing the documents. You email bills and receipts to your Hubdoc address or upload photos from the mobile app, then publish them; you reconcile in your accounting software afterwards.

The help centre also says Hubdoc is set up as a separate organisation with a 30-day trial, and that the organisation becomes read-only after the trial until payment details are added. Xero’s UK site separately describes its own smart document capture, included on its small business plans, which scans documents and prepopulates records. Xero users should compare both options before adding a separate tool.

One product instead of two in HelloBooks

In HelloBooks the agent captures and posts in the same place. A supplier invoice forwarded from your inbox is read, matched to the supplier, posted with the VAT treatment on each line and attached as evidence. When you upload the month’s bank statement, the payment line is matched to that bill.

Arabic is handled by the same AI. Example: a Fujairah marine services company receives 60 bilingual fuel and port invoices a month. Each is read for the supplier TRN, the net amount and 5% VAT, and posted ready for the VAT 201 draft. Its accountant reviews flagged items only.

Owners can then ask questions of the posted data: “how much did we spend on fuel in July?” or “which suppliers have we not paid?” That is the difference between a capture tool and an agent working inside the books. Firms can request custom expense categories and approval rules through /book-a-demo.

When Hubdoc still makes sense

If you are staying on Xero or QuickBooks and like Hubdoc’s document storage and folder tagging, keeping it is reasonable. If you are reviewing the whole setup, or your bills are largely Arabic and bilingual, one product that captures, posts and reconciles is simpler to run and to audit.
