A month end close checklist for UAE companies using AI

Most small UAE companies do not close their books monthly. They close quarterly, the week before the VAT return is due, and discover three months of problems at once. A monthly close sounds like more work. With AI handling the matching and first-pass checks, it is less work, because each close is small. This is the checklist we suggest, in order, with who does what.

Why monthly beats quarterly

A quarterly VAT filer who closes monthly has two clean months before the return is even due. Errors are found while the people involved still remember the transaction. A mis-coded AED 9,000 laptop is easy to fix in the month it was bought and painful to trace eleven weeks later.

Monthly numbers also make better decisions. An owner who sees gross margin slip from 31% to 26% in April can ask why in May. One who sees it in July has lost a quarter.

Days one to three: get the data in

The first stretch is about completeness. Nothing else is reliable until every transaction is in the ledger.

  • Upload bank statements for every account, in PDF, CSV or Excel, including the USD or EUR accounts.
  • Forward any supplier bills still sitting in inboxes; the AI reads and drafts them.
  • Ask staff to submit outstanding expense claims with receipts photographed in the mobile app.
  • Raise any invoices for work delivered but not yet billed.
  • Record payroll; if you use HelloTime, the salary journal posts automatically.

Days three to five: let the AI reconcile and flag

Once the data is in, the HelloBooks AI matches bank lines to invoices, bills and claims, and lists what it could not match. A typical Dubai services company with 300 bank lines a month ends up with 15 to 25 exceptions: card payments with vague descriptions, transfers between own accounts, a customer paying two invoices in one amount.

The AI also runs checks a tired person skips. It lists bills with VAT but no TRN, sales lines with no VAT treatment, foreign currency balances that need revaluing, and customers whose balance went negative because a payment was posted twice. You work the exception list instead of the whole ledger.

Days five to seven: adjustments and review

Now the accounting judgement. Accrue for costs incurred but not billed, such as the DEWA bill that arrives on the 12th. Spread prepaid items: an annual trade licence renewal of AED 15,600 becomes twelve monthly charges of AED 1,300. Post depreciation. Revalue USD and EUR balances so FX gains and losses land in the right month.

The AI can draft each of these: it proposes the accrual from last month's bill, sets up the prepayment as a recurring entry and calculates the FX movement. A person approves them. Then the reviewer, owner or outside accountant, reads the P&L and balance sheet against last month and asks the questions only a person who knows the business can ask.

A worked example: closing March in five working days

A Ras Al Khaimah building materials trader with AED 9 million annual sales moved from quarterly to monthly closes. March had 412 bank lines across an ADCB current account and a USD account. The AI matched 384. The remaining 28 took the accountant about ninety minutes: eleven were customer receipts covering several invoices, nine were inter-account transfers, eight needed a call.

Adjustments took another hour. The owner reviewed the reports on day five and asked about one number, a jump in freight costs, which turned out to be a supplier billing two months together. Total effort was well under two days, compared with the four or five days the quarterly scramble used to cost.

Making it stick

Put the close on the calendar with a named owner for each step, and lock the month when the review is done. If your firm runs closes for many clients, the white-label firm console shows each client's close status on one screen. Teams that want a custom close checklist, report pack or approval step built into HelloBooks can ask for it at /book-a-demo.

FAQ

Frequently asked questions

Can HelloBooks close the month by itself?
No, and it should not. The AI does the matching, drafts adjustments and flags exceptions. A person approves the adjustments, reviews the reports and locks the period. That split is what makes the numbers trustworthy.
Do I need live bank feeds for a monthly close?
No. HelloBooks works from statement uploads for UAE banks, in PDF, CSV or Excel. Uploading weekly rather than monthly spreads the work out and keeps receivables reports current, but a single monthly upload is enough to close.
How does a monthly close help with the VAT return?
By the time a quarter ends, two months are already reconciled and checked. The VAT return draft then comes from a ledger that has been reviewed, so the work before filing is mostly the final month plus a final look at the totals.
What if I find an error after locking a month?
Unlock it with the right permission, or better, post a correcting entry in the current month with a note. Both actions are recorded in the audit log, so the change is visible to your reviewer.
