How to get paid faster by customers in the UAE: twelve habits that work

Most late payments in the UAE are not caused by customers who cannot pay. They are caused by invoices sent late, invoices with the wrong TRN or PO number, approvals stuck with one person who is on leave, and no one following up until day 75. Each of those is fixable. This post sets out the habits that shorten the time between finishing the work and seeing the money, with an AED example of what ten days of debtor time is worth to a small business.

What ten days is worth

A Dubai consultancy with annual sales of AED 4.8 million averages AED 13,150 of sales per day. If customers pay in 70 days on average, about AED 920,000 is tied up in receivables. Cutting that to 60 days releases roughly AED 131,500 of cash, permanently, without borrowing a dirham or winning a new client.

Our point of view: for most SMEs, receivables are a cheaper source of cash than a bank facility. The work is unglamorous but it pays more reliably than a sales push.

Invoice faster and get it right first time

The payment clock usually starts when the customer receives a correct invoice, not when you finish the work. Invoice the day work is delivered or the milestone is signed off. A batch of invoices sent at month-end adds an average of two weeks to every payment.

In the UAE, the commonest reasons an invoice is rejected by a corporate customer’s AP team are a missing PO number, a wrong legal name, a missing or wrong TRN, or a missing delivery note or timesheet. Check those four before sending, every time.

  • Invoice on delivery, not at month-end
  • Quote the customer’s PO number and their legal name as on the trade licence
  • Show both TRNs and the VAT breakdown clearly
  • Attach the signed delivery note, timesheet or completion certificate

Make paying easy

Put your IBAN, bank name and account name on every invoice, and add a payment link if you accept cards. Many UAE customers still pay by cheque; say clearly who cheques should be made out to and where to deliver them. For retail and small business customers, a link they can open on WhatsApp gets paid faster than a PDF attached to an email.

Agree terms before work starts and write them on the quote, the order confirmation and the invoice. A customer who agreed to 30 days in writing is much easier to chase than one who never saw your terms.

Follow up on a rhythm, not a mood

Set a fixed sequence: a friendly note a few days before the due date, a reminder on the due date, a firmer one at 7 days overdue, a call at 15 days, and an escalation to the decision-maker at 30 days. The sequence matters more than the wording. Customers learn quickly which suppliers follow up and pay them first.

Find out early who approves payments at each customer and what their payment run dates are. If a large Abu Dhabi customer pays on the 25th of each month, an invoice that reaches them on the 26th waits a month.

Where the AI agent helps

HelloBooks drafts invoices from your quote or a plain-English instruction, checks that the customer’s TRN and PO fields are filled, and sends payment reminders by email and WhatsApp on the schedule you set. When you upload your bank statement, it matches receipts to invoices and closes them, so reminders stop as soon as a customer pays.

Ask “who owes me money over 30 days and how much?” and you get a list with amounts and the last reminder sent. You decide who gets a phone call. The agent does not make calls itself, and it never changes credit terms without your approval.

FAQ

Frequently asked questions

Should I offer an early payment discount?
Sometimes. A 2% discount for payment within 10 days is expensive if the customer would have paid in 30 anyway. It works best for customers who habitually pay very late. Work out the annualised cost before offering it.
Can I charge interest on late payments?
Only if your contract provides for it and it is enforceable under UAE law. Take legal advice before adding late payment interest to your terms, and apply it consistently if you do.
Do deposits help cash flow?
Yes, especially for project work. Asking for 30% to 50% before work starts reduces your exposure and filters out customers who were never going to pay.
How quickly will I see results?
Invoicing on delivery and checking invoice details usually shows up within one billing cycle. A consistent reminder sequence typically takes two to three months to change customer habits.
